Description

The Richmond Behavioral Health Authority is looking for an Administrative Intake Coordinator for our North Campus location. This candidate will be able to perform intermediate skilled administrative support work. The Intake Coordinator is responsible for facilitating and coordinating the timely evaluation, various screens and acceptance of patients referred for service. Candidate will be responsible for maintaining accurate and timely data entry of client information into the electronic system, and related work as apparent or assigned. Work performed under the limited supervision of the assigned supervisor.

Essential Functions

  • Ability to establish and maintain an effective working relationship with Human Services staff, referral sources, public and private sector officials and their staff, and the general public.
  • Received incoming referrals via phone and fax; provides timely acceptance and completion of new referrals.
  • Interviews and evaluates client needs, identifies potential clients.
  • Notified clinical and insurance case managers of pending referral.
  • Responsible for initiating and tracking new referral checklist for completion; keep daily logs current.
  • Coordinates patient care between the scheduling department, authorization department, and field staff.
  • Organize and attend arranged intakes for the local site to ensure all staff, and clients are apprised of the intake process.
  • Enters new patient demographics, insurance to electronic health record.
  • Scans and tags initial paperwork into medical record.
  • Coordinate and facilitate discharges; effectively track intakes and discharges.
  • Meet regularly with direct supervisor to schedule and prioritize work.
  • Conduct intakes live over the phone, from faxes, emails or in person and enter them into the state required data collection system.
  • Input intakes in the data management system live or immediately after getting off the call.

Position Requirements

Knowledge, Skills and Abilities

Thorough knowledge of standard office practices, procedures, equipment and office assistance techniques; thorough knowledge of business English, spelling and arithmetic; thorough knowledge of the services provided by service agencies; demonstration of excellent computer skills including the ability to work independently in Microsoft Outlook, Word, Excel, Publisher, and Power Point and other specialized data bases; ability to read and understand moderately detailed policies, procedures and job related materials; ability to maintain detailed records; ability to solve problems within scope of responsibility; , ability to work effectively as a member of a dynamic team, ability to establish effective working relationships with associates, agencies, medical personnel, law enforcement, vendors, clients and the general public.

Education and Experience

Associate's degree with coursework in business administration, or related field and considerable experience in program and administrative support, customer service, office assistance, bookkeeping, business management, or equivalent combination of education and experience.

Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, reaching with hands and arms and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating motor vehicles or equipment and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).

Special Requirements

Valid driver's license in the Commonwealth of Virginia.
