Job description

Position Summary

Exeter Adult Education seeks a highly organized and detail-oriented Office and Data Manager to support the daily operations of our adult education center. The position plays a critical role in ensuring compliance with federal and state grant requirements under the Workforce Innovation and Opportunity Act (WIOA). The manager oversees data and reporting through the NH Department of Educations LACES system, assists with fiscal processes, and provides administrative, technology, and communication support to staff, students, and community partners. This is a dynamic, year?round position ideal for someone who enjoys a varied workday and meaningful engagement with adult learners and educators.

Essential Duties

Data and Financial Management

  • Serve as the local LACES Data Manager for all ABE, ASE, and ESL programs.
  • Enter and verify student registrations, attendance, assessments, and outcomes accurately.
  • Generate and submit required NH DOE and WIOA performance reports in collaboration with the Director.
  • Monitor data quality, provide staff training, and implement updates per NH DOE guidance.
  • Process tuition payments, deposits, and financial documentation for federal and local accounts.
  • Prepare purchase orders, requisitions, and invoices for district and grant?funded expenditures.
  • Manage billing for partnering districts, Vocational Rehabilitation, NH Employment Program, and other agencies.
  • Maintain accurate fiscal records to ensure alignment with allowable WIOA costs and reporting standards.

Office and Program Administration

  • Greet and assist students, instructors, and community members with professionalism and care.
  • Manage office communication (phone, email, mail, interoffice correspondence, and digital inquiries).
  • Assist with new student onboarding and orientation in collaboration with the Director and other key stakeholders.
  • Maintain confidential student records in compliance with FERPA and district policies.
  • Coordinate with district departments and school staff to ensure smooth program operations.
  • Manage the front office environment, including organization, cleanliness, and overall presentation of the physical space.
  • Oversee the organization and maintenance of active and inactive student files, including the bi?annual file purge and record retention process.
  • Coordinate and assist with office and program events, including set?up, materials, logistics, and ensuring a welcoming environment for staff and participants.
  • Technology and Reporting

  • Utilize and manage software systems including LACES, Google Workspace, Microsoft Office, Publisher, Joomla, DT Register, and .
  • Prepare data reports, mail merges, flyers, and communications as needed.
  • Update the Exeter Adult Education website and social media pages to promote programs and support enrollment.
  • Collaborate with IT staff from SAU 16, Seacoast School of Technology, and Great Bay Education Charter School to ensure secure technology access and troubleshooting.
  • Provide LACES and technology training to staff and assist with troubleshooting.
  • Enrichment and Community Education

  • Recruit, hire, and onboard enrichment instructors.
  • Coordinate 40+ enrichment courses per semester, including contracts, tuition rates, supply ordering, and schedules.
  • Design and distribute seasonal brochures, flyers, and public relations materials.
  • Submit press releases and collaborate with media outlets to promote adult education opportunities.
  • Represent Exeter Adult Education at community events, job fairs, and local partnerships.
  • Diploma and High School Equivalency (HiSET) Support

  • Maintain testing center compliance and security for all HiSET records and materials.
  • Process grades, transcripts, and diploma documentation for the Adult Diploma Program.
  • Coordinate the annual graduation ceremony, including logistics, materials, and communications.
  • Professional Development

  • Participate in ongoing professional learning and NH DOE / WIOA trainings related to data management, assessment, and compliance.
  • Stay informed about federal and state performance accountability standards.
  • Contribute to innovation and continuous program improvement.
  • Knowledge, Skills and Abilities

  • Strong attention to detail and data accuracy.
  • Proficiency in Microsoft Office Suite, Google Workspace, and database systems.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Demonstrated commitment to confidentiality, equity, and adult learning principles.
  • Minimum Qualifications

  • Associates degree preferred.
  • Prior experience in education, office administration, or data management (LACES or similar student information system preferred).
  • Compensation and Benefits

  • Competitive salary commensurate with experience.
  • Eligible for SAU 16 benefits package including health, dental, retirement, and paid time off.
  • Full?time, year?round position; 8 hours per day.
  • One required evening per week; occasional additional evenings for testing, registration, or events.
  • Some local travel for errands, training, or community events.
  • Physical and Mental Demands

    Physical ability to perform the essential functions is required. The role requires standing, walking, sitting, talking, hearing, using hands to manipulate, handling, or feel objects, reaching with hands and arms, stooping, kneeling, crouching, and occasionally moving equipment and / or supplies up to 25 lbs. The job is performed for the most part in an office or school setting with occasional outside weather conditions. The noise level is that of a typical school. Mental demands require decision making, analytical and organizational skills to achieve work objectives, solve practical problems, use computer technology, and present information for use by administrators in making decisions.
