Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join a dynamic office environment in Bronx, New York. This is a contract position requiring effective Spanish communication skills, with written Spanish proficiency being a valuable asset. The role involves supporting a busy office, ensuring seamless coordination and providing exceptional service to both internal staff and visitors.
Responsibilities include :
Serving as the central point of contact for office coordination, supporting up to 70 employees, including hybrid workers.
Scheduling and overseeing lunch arrangements, including confirming deliveries and tracking their status.
Managing conference room bookings and ensuring rooms are prepared for meetings.
Overseeing visitor security by tracking arrivals, registering guests, and guiding them to conference rooms.
Providing hospitality to visitors by offering refreshments and ensuring their comfort.
Preparing FedEx shipping labels and packages for outgoing deliveries.
Sorting and distributing incoming mail efficiently.
Greeting and assisting individuals in the reception area, ensuring a welcoming experience for all.
Requirements :
Proven experience in administrative support or a similar role.
Proficiency in Spanish is required; ability to write in Spanish is a plus.
Familiarity with real estate or property management is highly desirable.
Strong organizational skills and attention to detail.
Ability to manage schedules and coordinate multiple tasks simultaneously.
Exceptional interpersonal and communication skills.
Experience with mail handling and package preparation.
Ability to maintain a detail-oriented approach while managing a busy office environment.
