Wheeler Staffing Partners is seeking a detail-oriented, organized, and proactive Assistant Account Manager to join our client's Marketing & Events team. This position plays a critical role in supporting the execution of private events, managing a small territory, and delivering a high-touch experience to clients across various industry segments.
Position Summary
The Assistant Account Manager supports the Marketing & Events team in strategically positioning a premier private event venue. The role encompasses full-cycle event execution from initial proposal through to completion, including client communication, event logistics coordination, reporting, and data entry. The ideal candidate thrives in fast-paced environments, excels in Excel and reporting tasks, and enjoys problem-solving.
Key Responsibilities
- Respond to client inquiries with urgency, professionalism, and courtesy
- Quote and negotiate event proposals, generate invoices, and manage payment collection
- Assist clients in planning menus, space arrangements, and technical needs (A / V, catering, setup, etc.)
- Maintain detailed records in the event management system, including client data and event logistics
- Track event budgets and submit timely invoicing for services rendered
- Coordinate closely with internal departments and theatre staff to ensure seamless event execution
- Own and manage a small territory, cultivating client relationships and identifying new business opportunities
- Support marketing and sales campaigns, including research, database updates, and administrative assistance
- Serve as a backup to Account Managers during peak periods and paid time off
- Learn and follow Private Event Terms & Conditions and contribute to best practices documentation
- Conduct market research and identify opportunities for new client acquisition and partnership growth
- Track KPIs and analyze results to contribute to continuous process improvements
- Support internal collaboration with departments such as Marketing, IT, Accounting, and F&B
Requirements
Bachelor’s degree with 1+ years of experience in event planning, marketing, sales, or a related fieldStrong reporting, data entry, and Excel skills are essentialProficiency in Microsoft Office (especially Excel) and Microsoft TeamsSalesforce and Pardot experience preferredExcellent verbal and written communication skillsBilingual (English / Spanish) highly preferredExceptional attention to detail and ability to manage multiple tasks and deadlinesComfortable handling budgets and making sense of figures / metricsStrong interpersonal and client service skillsProactive, resourceful, and solution-oriented with a continuous improvement mindsetPrevious experience managing events through the full life cycle is a plusSelf-starter capable of working independently and as part of a collaborative teamAbility to learn forecasting and contribute to financial planningWhy Apply?
