About the Role

The Admissions Financial Counselor supports families through a patient-focused approach. This position blends strong customer service skills with a solid understanding of the revenue cycle without involvement in direct claims processing or insurance verification. Serving as the primary financial resource for families, this role is responsible for reviewing invoices, explaining coverage distinctions such as in-network versus out-of-network services, and guiding families through Single Case Agreement processes.

Key Responsibilities

The following are duties and responsibilities that the Financial Counselor (Admissions) shall provide :

  • Provide personalized invoice review sessions (via phone, video, email, or patient portal) to ensure families clearly understand billing details.
  • Break down invoices line by line, including service dates, billed units, rates, insurance payments, and outstanding balances.
  • Communicate complex billing concepts in clear, family-friendly terms.
  • Educate families on the differences between in-network coverage (contracted rates, co-insurance, deductible status) and out-of-network financial obligations (higher responsibility, potential reimbursement).
  • Utilize visual tools—such as PDF summaries and screen sharing—to illustrate how coverage status impacts costs.
  • Proactively identify potential out-of-network situations and guide families through available options (e.g., Single Case Agreements, self-pay).
  • Act as the primary point of contact for all Single Case Agreement (SCA) inquiries during financial discussions.
  • Explain SCA details including approval status, effective dates, covered services, reimbursement structure, and expiration timelines.
  • Provide families with simplified written SCA summaries within 24 hours of request.
  • Monitor aged accounts to identify variances and collaborate with the billing team to resolve discrepancies.
  • Support financial processing activities including payment reconciliation, payment plan setup, and refund handling.
  • Maintain accurate patient account updates when SCA terms or reimbursement rates change.
  • Respond promptly to all patient inquiries within 24 business hours.
  • Manage difficult billing conversations with empathy, accuracy, and a solutions-focused approach.
  • Consistently achieve a 95%+ satisfaction rating for financial counseling interactions, measured through post-interaction surveys.
  • Requirements

    Qualifications

    The Financial Counselor (Admissions) requires a minimum of a Bachelor's degree and :

    Minimum 2 years of experience in revenue cycle or patient financial services, ideally within ABA, behavioral health, or pediatric therapy settings.

    Strong background in customer service, preferably working directly with families of children with autism or special needs.

    Demonstrated expertise reviewing patient invoices and explaining billing details and EOBs in clear, accessible language.

    Advanced knowledge of insurance cost-sharing concepts, including deductibles, co-insurance, out-of-pocket maximums, and network status implications.

    Proven ability to educate patients on Single Case Agreements (SCAs), including terms, coverage, and financial impact.

    Skilled in patient portals, EHR systems, and Excel for documentation, financial tracking, and follow-up management.

    Familiarity with ABA service models and related billing requirements.

    Exceptional communication, empathy, and active listening skills—able to simplify complex financial information under pressure.

    Experience creating patient-friendly billing education resources a plus.

    Bilingual (Spanish / English) preferred.
