Administrative Assistant
Overview :
We are seeking a highly organized, detail-oriented Administrative Assistant to provide comprehensive support to the C-suite and senior management. This role is critical for ensuring smooth office operations, managing sensitive information, and coordinating a wide range of administrative tasks. The ideal candidate will demonstrate professionalism, discretion, and the ability to handle multiple priorities in a fast-paced environment.
Knowledge, Skills, and Abilities :
- Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) with strong calendar management capabilities.
- Exceptional verbal and written communication skills paired with superior organizational and time management abilities, including the capacity to prioritize and manage competing demands effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving skills and keen attention to detail.
- Must possess a valid driver's license and have a reliable vehicle for occasional errands.
Essential Functions and Duties :
Serve as the primary point of contact for executives and internal / external stakeholders.Manage incoming calls, emails, correspondence, and in-person inquiries; screen and prioritize.Maintain calendars, schedule meetings, reserve rooms, and coordinate travel arrangements.Draft, proofread, and edit letters, memos, agendas, meeting materials, minutes and other documents as needed.Assist, with purchasing, prepare and submit business expense reports and credit card reconciliations.Maintain contracts database (leases, lab agreements, physician contracts, NDAs, etc.).Track expenses, monitor and order supplies, and schedule maintenance repairs.Ensure completion and reporting of assigned tasks in a clear and timely manner.Preferred : Notary Public certification (not required).Other duties as assigned.Education and Experience :
College degree preferred but not required.Minimum 5+ years of administrative support experience required.Schedule :
Business hours (Monday–Friday).Pay Rate :
