Principal Responsibilities :
- Provides front-desk coverage and serves as the first point of contact for all visitors, customers, executives, contractors, and external callers.
- Manages executive calendar and coordinates travel arrangements of unit manager.
- Maintains confidential items and acts as a Record Coordinator, ensuring compliance with the record management policy.
- Supports department meetings and events by reserving and preparing meeting rooms, coordinating logistics, and ensuring successful execution.
- Delivers daily administrative support, including :
- Preparing budget and expense reports, reporting any overspending to leaders
- Managing phone calls and visitor traffic
- Supporting new hire onboarding
- Handling procurement of goods and services
- Submitting purchase requisitions, processing invoices, and confirming invoice accuracy before approval
- Tracking purchase orders and ordering supplies for the entire building.
- Sorting mail and scheduling meetings
- Managing conference room schedules
- Processing work requests from building personnel
- Maintaining documentation per corporate requirements
- Works with vendors and third-party service providers to verify site safety requirements and coordinate access.
- Creates security access badge requests and monitors visitors for site safety and security compliance.
- Multi-tasks and responds to evolving priorities.
- Maintains a clean and orderly work area, follows site safety rules, and promotes their observance.
- Performs other work-related duties as assigned.
- In this fast pace environment, the incumbent will provide administrative assistance and clerical support as necessary to meet objectives of the research unit.
- They will work in close partnership with the unit leaders and security to ensure that company procurement requirements and security and safety processes comply with corporate guidelines.
- Furthermore, the incumbent will follow corporate policies and enforce them as needed while remaining current with the latest technological advancements.
Required Qualifications :

Technical Certification Bonus : Synectics is pleased to award its employees a bonus of up to $500 for an approved professional certification. In determining the bonus amount, Synectics will consider the cost of the test(s) for any certification relating to your current position, achieved during your employment with us. Only one Certification Bonus per calendar year may be awarded per employee. Only current, active employees will be eligible to receive this bonus. It will be awarded 90 days after the Synectics office has received documentation confirming the successful completion of the certification.
