Description :

As a Sales Support & Operations Specialist , you’ll play a key role in keeping our operations running smoothly and efficiently. This position supports outside sales, with responsibilities spanning from order processing and purchasing to CRM / ERP data management and post-sale coordination. You’ll ensure accuracy, streamline communication, and help deliver a seamless customer experience from sale through delivery and billing

Please note this is NOT a sales position; this role coordinates “after the sale” processes including ordering, tracking through delivery, billing, and supporting outside sales teams.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following :

  • Support outside sales team through administrative assistance, data preparation, lead tracking, and quote coordination
  • Approval and reconciliation of order confirmations and vendor invoices against purchase orders
  • Manage motor vehicle sales documentation, including delivery, warranty registration, and title transfers
  • Process purchasing of standard and accessory items to meet install and delivery timelines
  • Communicate with vendors, customers, and internal teams (parts / sales / service) to support active projects
  • Create sales packages through accurate data entry of sales orders, purchase orders, and production work tickets
  • Prepare comprehensive billing packages and pay applications for customer accounts
  • Request vendor quotes and stock inventory availability to support sales activity
  • Receive and document sales leads via phone, email, and website for appropriate follow-up
  • Maintain records for sales performance, financial forecasting, and lead status
  • Review and execute construction contracts and provide required supporting documentation
  • Source vendor and product information to assist sales in building accurate quotes
  • Track order status, vendor completion, inspections, shipping, and delivery timelines
  • Maintain and update CRM and ERP systems to ensure accuracy in sales and purchasing data
  • Build and sustain strong working relationships across internal teams and external partners

Requirements :

  • 2+ years of experience in sales support, outside sales coordination, purchasing, or client success roles
  • Hands-on experience with motor vehicle sales processes, including documentation and registration
  • Proficient in CRM systems (e.g., Salesforce) and ERP software (e.g., Sage Intacct)
  • Strong Microsoft Office Suite skills : Excel, Word, Outlook
  • Proven project coordination and administrative experience
  • Excellent organizational skills, attention to detail, and the ability to work independently
  • Ability to handle multiple priorities with a sense of urgency and professionalism
  • Creative problem-solver with a proactive mindset and strong interpersonal skills
  • Demonstrates high integrity and professionalism in all business interactions
