Job description

Job Summary :

The Operations Manager is responsible for overseeing the day-to-day administrative and operational functions of a busy medical practice. This role ensures the practice runs smoothly, efficiently, and in compliance with healthcare regulations. The ideal candidate will be a strategic thinker with strong leadership and organizational skills, capable of managing teams, streamlining processes, and enhancing patient satisfaction.

Key Responsibilities :

  • Operational Oversight :
  • Manage daily operations including scheduling, patient flow, billing, and front / back-office coordination.
  • Develop and implement policies and procedures to improve efficiency and compliance.
  • Ensure the practice complies with federal, state, and local regulations, including HIPAA and OSHA.
  • Team Leadership :
  • Supervise and support clinical and administrative staff.
  • Coordinate hiring, onboarding, training, and performance evaluations.
  • Foster a positive workplace culture focused on collaboration and patient care excellence.
  • Work closely with Medical Practice Liaison in all marketing ventures.
  • Financial Management :
  • Assist in revenue cycle management.
  • Monitor accounts receivable, oversee billing and collections processes.
  • Work with billing specialists to ensure financial health.
  • Patient Experience & Quality Assurance :
  • Oversee patient satisfaction initiatives and resolve patient concerns.
  • Monitor quality metrics and implement process improvements to enhance patient care.
  • Ensure timely and accurate documentation and record-keeping.
  • Technology & Facility Management :
  • Oversee the maintenance of medical and office equipment.
  • Manage EMR / EHR systems and support staff training on software usage.
  • Coordinate with vendors and service providers as needed.
  • Other duties as assigned

Requirements

Qualifications :

Bachelor's degree in healthcare administration, business administration, or a related field (Master's preferred).

3+ years of management experience in a healthcare or medical practice setting.

Strong knowledge of medical office operations, billing, and insurance processes.

Proficiency in EHR / EMR systems

Excellent leadership, communication, and problem-solving skills.

Detail-oriented with a strong ability to manage multiple priorities.

Preferred Qualifications :

Certification in practice management (e.g., CMPE, CPPM).

Experience with compliance audits and quality improvement programs.

Experience with medical billing and revenue cycle management

Excellent communication and customer service skills.

Great attention to detail.

Proficient with Microsoft Office.
