Administrative Support Specialist
Provides direct support to the divisions, department, boards, and commissions including, but not limited to, administrative, financial and clerical services to meet departmental goals and objectives. Performs a wide variety of special projects; performs other duties as assigned. The hiring salary for this position is $50,003 - $55,162 annually; full salary range for this position is $50,003 - $86,091 annually.
Essential Functions
- Provides support to staff of the Administration Division to meet goals and objectives;
- Assists with providing research materials needed by Director, Deputy Directors or Division Managers for special projects;
- Serves as support for a wide variety of boards and commissions;
- Types and drafts correspondence; maintains schedules; logs and scans submittals; maintains record files and databases; prepares mailouts and meeting packets as needed;
- Assists in coordinating public meetings, initiatives, and events; attends and provides staff support as needed, to include occasional evenings;
- Assists in preparing agendas and posting to BoardDocs as needed;
- Answers phones and directs calls to appropriate staff members and / or takes and delivers messages; assists visitors and staff with any inquiries;
- Assists with scanning permits and inspections documents, maintaining departmental archives records;
- Maintains department county vehicles usage, repair and maintenance;
- Assists staff with the Senior Office Specialist coverage of the front desk receptionist duties;
- Backup for inspection requests and certificate of use and occupancy documents;
- Updates and completes annual boards and commissions summary reports.
- Performs other duties as assigned.
Required Knowledge, Skills, and Abilities
Ability to gain thorough understanding of St. Mary's County Government policies and procedures;Ability to act as a representative of St. Mary's County Government to the public,Ability to effectively communicate with other Department staff members; ability to coordinate, advise, and work with other professionals, elected officials, and community members;Ability to prioritize and multitask;Ability to use available resources to research and provide information;Ability to keep accurate records;Ability to understand office procedures and ability to operate modern office equipment including computer hardware and software;Ability to read, edit and write technical documents and correspondence; andBasic math and language skills.Education and Experience
Associates degree, or;Three or more years of related experience, or;Equivalent technical training, education, and / or experience.Physical and Environmental Conditions :
Work requires no unusual demand for physical effort.
Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meetings and training rooms.
