Salary Range : $53,800-$72,600

  • This role is exclusively on-site , requiring daily commutes to the office. Therefore, candidates must reside in the Detroit / Metro-Detroit area before employment

MISSION STATEMENT

Our mission is to return the city's blighted and vacant properties to productive use. We utilize a variety of Sales programs to make homeownership and land purchases accessible to Detroiters. Plus, we take our commitment to revitalization one step further with our Compliance and Nuisance Abatement programs, requiring renovation and occupancy to improve neighborhoods, eliminate blight, and combat real estate speculation. The Detroit Land Bank Authority works directly with individual buyers, as well as Community Partner organizations and developers for projects big and small.

The Executive Assistant performs administrative duties for the Chief Executive Officer (CEO) and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Executive Director. The Executive Assistant also serves as a liaison to the Board of Directors and senior management team.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

Board Support

  • Schedule and attend all Board and Committee meetings
  • Preparation and dissemination of agendas and materials for all meetings
  • Serves as recorder of minutes for Board and committee meetings
  • Responsible for management of all pertinent documents pertaining to meetings and ensure all records are properly and safely stored
  • Effectively communicate and provide administrative support to the Board when required
  • Executive Support

  • Manage an extremely active calendar of appointments; completing expense reports and timesheets; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature and determine appropriate course of action, referral, or response.
  • Provide a bridge for smooth communication between the CEO's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the CEO to keep him / her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Work with City Council Liaison to ensure any request addressed to the CEO are followed through to completion.
  • Provide leadership to build internal and external relationships crucial to the success of the organization, and assist with a variety of special projects, some of which may have organizational impact.
  • Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Senior Management Team Support

  • Assist in scheduling meetings
  • Prepare agenda for Executive Team meetings, off-site meetings, and all staff meetings
  • Assist with formatting, editing, copying and transmitting documents
  • Ensure timely filing of City Council Quarterly reports
  • Organize and maintain document filing system
  • Ensure completion of timesheets, expense reports, invoices and requisitions
  • Administrative Support

  • Manage Administrative Assistant on a daily basis
  • Assist Office Manager with all staff events
  • QUALIFICATIONS :

  • Associate degree with executive assistant certification required; Bachelor's degree preferred
  • Strong work tenure : five to 10 years of experience supporting Executives
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Social Media web platforms
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external customers / clients
  • Excellent written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer / client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
