Job Summary This is a Salem Housing Authority position, which is a separate employer from the City of Salem. The Housing Authority is seeking a motivated, experienced Staff Assistant to join our Customer Service / IT team. The Staff Assistant will be responsible for providing general administrative support to their assigned unit or department. What you will do : Essential job functions include a variety of tasks : answering phones, responding to inquiries, explaining policies and procedures, preparing documents, responding to and tracking the status of helpdesk tickets, covering the front desk, and assisting others in the office as needed. The successful candidate must be able to work well with a diverse group of coworkers and clients, handle multiple projects and tasks simultaneously, possess the skills necessary to provide exemplary customer service, effectively communicate, quickly learn and apply a variety of Housing Authority policies and procedures to the appropriate work situations, maintain good working relationships with other employees, agencies, and the public, and perform work effectively during changing priorities and interruptions. Additional job duties and responsibilities :
- Provides support to administrative team.
- Maintain complex clerical records and documents, accuracy and attention to detail.
- Formatting various types of documents in Microsoft Word, including memos, mail merge, design forms and fields, use of references, font styles, formatting options, bullet points, tables, quick parts, and heading styles.
- Create various tools, formulas, and functions in Microsoft Excel, including formatting, spreadsheets, sorting data, macros, using shortcuts, and filters.

- Must pass the pre-employment background check.
- Must have an Oregon Driver license or the ability to obtain an Oregon license within 30 days of residency and have a driving record that meets the Salem Housing's driving standards.
- Graduation from high school or GED, and coursework in secretarial science, and five years of progressively responsible clerical experience, operate a personal computer, including rapid (40 wpm) and accurate data entry / transcription; or any combination of experience and training that demonstrate possession of the knowledge, skill and abilities as listed, and abilityto perform the essential job functions

- Experience in the Clerical Field :
- Experience typing at 40 wpm with 95% accuracy;
- Experience processing and proofreading documents;
- Experience ensuring proper maintenance of electronic file systems;
- Excellent Knowledge of effective file and record maintenance practices;
- Experience maintaining complex paper filing systems;
- Experience managing electronic data and maintenance and ensuring accurate maintenance.
- Experience in the Customer Service Field :
- Experience interpreting and explaining processes and procedures;
