The Position In this fast-paced and impactful operations role, the Facilities Supervisor will be responsible for overseeing the quality approach to building operations and maintenance for Project 180 residential and office buildings.
- This is a 100% onsite position and the work schedule of the Facilities and Safety must be flexible in order to monitor requests, contractors, and handle emergencies. The Facilities and Safety Supervisor supports Project 180 staff by ensuring facility problems and service requests are handled quickly and effectively with a customer service approach.
- The position presents the opportunity to develop strategic planning and budget management skills through participation in annual planning processes.
- Reporting to the P180 Director of Operations and working closely with individuals at all levels of the organization, outside consultants, and vendors.
The Facilities Supervisor will gain cross-functional leadership experience coordinating safety and functional facilities across multiple sites. Essential Functions :
Facilities Management : Partner with On site teams to manage day-to-day operation and maintenance of facilities across all Project 180 sites including but not limited to : creating a needs assessment process, developing and implementing preventive maintenance schedules, creating and maintaining facility inventory, managing a procurement process for facility supplies, prioritizing requests across locations and managing vendors.Oversees the scheduling, coordination, and repair of maintenance work assignments performed by technicians, vendors and contractors performing facilities maintenance.Inspects and evaluates work in progress and upon completion to ensure repairs and maintenance meet quality standards; identifies problem areas and solutions and directs remedial action.Recommends approaches to remediate issues with an eye toward efficient solutions and budget adherence in collaboration with leadership Maintains organization of facilities documents including but not limited to service agreements / contracts, building drawings, warranties, records, licenses, inspections, maintenance schedules, and emergency plans.Ensures site resources (equipment, in are procured and distributed in collaboration with program teams, site leadership, and finance team Supports procurement of bids and RFPs in collaboration with finance team Participates in the development, implementation and monitoring of facility, maintenance and space planning goals, objectives and budgets as well as policies and procedures.Inspects and evaluates buildings, grounds and equipment; identifying, recommending and implementing necessary changes.Ensures compliance with building, county and state codes and regulations.Adheres to facilities budget to ensure responsible resource management and participates in the annual planning process Visit housing sites and offices on a minimum bimonthly basis to ensure quality standards are maintained Oversee the procurement, maintenance, and management of vehicles and other capital equipment Safety & Security :
Coordinates and implements safety and security processes and procedures including but not limited to security systems, emergency plans, and building access to ensure safe and secure facilities.Maintains compliance for OSHA and other workplace safety requirements and trainings for Oversees and manages required hazard reporting and remediation Leads the internal Workplace Safety Committee across sites to ensure emergency preparedness Manages the Office Security Guards to ensure consistency of procedural implementation Ensures all staff are trained in field, office, and emergency safety procedures Liaises with police departments, local safety teams, and property management as applicable to remediate safety and security concerns Counsels staff safety concerns and reviews incident reporting to report on trends Data Analysis Leverages maintenance data to to improve efficiency, reduce costs, and ensure compliance with safety regulations Analyzes trends to identify recurring issues and recommend proactive solutions Identify system inefficiencies and present recommendations to leadership for improvements to process, repairs, and resources Ensures the quality of entered data across functions to provide actionable insights and recommendations Staff Supervision :
Oversee the facilities and safety teams. Supervise staff to meet performance expectations.Provide regular coaching and feedback, conduct annual performance reviews, and implement disciplinary actions as needed.Perform administrative managerial duties to ensure compliance with labor and safety regulations Fulfill baseline Project 180 staff expectations Regular attendance required.Holiday or weekend work may be required.Maintain and uphold Agency mission statement, values, policies, procedures, and principles.Perform other duties as needed.Skills and Abilities Excellent communication and relationship-building skills Proactive, takes initiative to solve problems Flexible and adaptive when things change Detail-oriented and organized Comfortable having difficult conversations Data-oriented and comfortable with technology (Google Suite) Ability to communicate complicated or technical information to various stakeholders and people across varied levels of understanding Demonstrates composure under pressure, particularly in urgent situations Minimum Qualifications :
Required : 3+ years work experience in facilities management and / or maintenance required.Knowledge of services, materials and activities related to the maintenance and repair of buildings, facilities, and equipment.Ability to quickly learn the facilities to be maintained and understand written directions in manuals and on manufacturer websites.Intermediate experience with Microsoft and Google Suites.Experience managing multiple projects. Must demonstrate professionalism, flexibility, and ability to exercise good judgment to resolve complex problems.Valid CA driver’s license, proof of insurance and own vehicle required.Verification of Employment Eligibility and Background Check Preferred Bachelor’s degree Experience managing staff and contractors.Experience working with culturally diverse populations.Supervisory Responsibilities Facilities Manager will directly manage the facilities and safety teams.Environmental Conditions (Working Conditions) The Facilities Manager will be based in the Project 180 headquarters in downtown Los Angeles and will need to perform job duties in office and field settings, including Project 180’s housing and office sites. Physical Requirements The employee is expected to drive, carry a maximum of 40 lbs, listen, and speak in order to complete job requirements.
