Job description

The Office of the Registrar seeks a Registrar Assistant II to support the daily responsibilities of the department. The accuracy, integrity, privacy, and security of all academic records is the top priority. The Registrar Assistant II works to ensure compliance with published policies and procedures while providing outstanding customer service.

As frontline staff, essential job functions required of the Registrar Assistant II :

  • Serve as first level contact for all Registrar Office inquiries from students, faculty, alumni, staff and the general public via email, telephone, or in person.
  • Dissemination of clear and concise information regarding academic and administrative policies is the priority of this position.
  • Process 'on-spot' service requests including but not limited to transcript and standard enrollment verifications.
  • Support fall, spring, and summer semester registration, online registration, add / drop and new student registration processes.
  • Ensure all Office of the Registrar documents are scanned / indexed / coded and attached to the student record.
  • Respond to and process document requests and management of workflow for BOS, MAN, WOR and ONL campuses using the Document Management system, including but not limited to subpoena compliance, and escalate appropriately.
  • Manage the weekly batch and end-of-term batch transcript and enrollment request processes.
  • Process degree verify requests from National Student Clearinghouse, custom enrollment letters, verification of good standing letters, anticipated graduation date and completion letters.
  • Process Colleges of the Fenway registration / reconciliation.
  • Review Office of the Registrar web content, including forms, calendar dates, videos, process updates and links.
  • Manage and process ad hoc event requests for space for classes, meetings, exams.
  • Responsible for the weekly review of potential double bookings and duplicate person records using AdAstra.
  • Support the academic scheduling process with section and faculty updates in the student information system.
  • Perform substitutions / customizations to academic records including minor assignments.
  • Post degree petitions for May, September and December conferral dates and route issues to Associate Registrar as appropriate.
  • In conjunction with the Assistant Registrar for Administrative Services, create Final Exam schedules for all terms.
  • Assist with training and onboarding of Registrar Assistants, including temporary employees.
  • Supervise work-study staff.
  • Contribute to sustaining and enhancing an inclusive working and learning environment.
  • Perform other related duties as assigned by Assistant Registrar and / or Senior Associate Registrar, Administrative Services.

Secondary job functions of the Registrar Assistant II :

  • Monitor all office supplies and small purchases and relay needs to Assistant Registrar.
  • Assist with the posting of external transfer credit.
  • Process demographic changes to student records.
  • Support the Assistant Registrar with the completion of licensure and internship documents.
  • Required :

  • Minimum of a high school diploma or GED.
  • Proficiency in MS Office.
  • Excellent interpersonal and customer service skills. Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Ability to interpret legal requirements and respond to requests for confidential information.
  • Ability to multi-task and establish priorities in a fast-paced environment.
  • Ability to maintain a high level of accuracy in completion of work, including use of computer, filing and responding to requests for information.
  • Ability to grasp computer applications quickly and efficiently.
  • Preferred :

  • A bachelor's degree.
  • Previous work in higher education setting.
  • Familiarity with Colleague SIS.
  • Physical Requirements :

  • Must be able to talk, listen, and speak clearly on telephone.
  • Standing, sitting, manual dexterity, ability to move between offices and floors of buildings.
  • Ability to meet deadlines and perform well under pressure.
  • Ability to be physically in attendance at designated worksite during scheduled work hours and to work some evenings and weekends.
  • Normal range of vision and hearing (with or without correction).
  • Ability to lift up to 5-10 lbs.
  • This is a full-time, in-person position based in Boston. Standard hours are Monday through Friday, 8 : 30 AM to 4 : 30 PM.
