Qualifications :

  • High school diploma or GED required; Associate's degree or college coursework preferred
  • Minimum of 2 years of administrative or office experience; experience in a school setting preferred
  • Experience with Powerschool and Infinite Visions preferred

Position Overview :

The Administrative Assistant - Front Desk serves as the first point of contact for students, families, and visitors at the elementary school. This role supports the daily operations of the front office while providing direct administrative support to the principal and assistant principal. Key responsibilities include managing communication, maintaining calendars, assisting with registration and student records, drafting correspondence, creating flyers, and supporting event coordination.

Key Responsibilities :

  • Greet and assist students, staff, parents, and visitors in a professional and welcoming manner
  • Answer and route incoming calls and emails promptly and courteously
  • Maintain confidentiality and a positive office environment
  • Monitor visitor check-in and ensure building security protocols are followed
  • Draft and format professional correspondence, memos, and school-wide communications
  • Maintain and manage the principal's and assistant principal's calendars, including scheduling meetings and appointments
  • Organize, maintain, and retrieve documents and records as needed
  • Prepare reports, agendas, and meeting materials
  • Create flyers, newsletters, announcements, and other materials to communicate school events and updates
  • Assist in maintaining the school's website and / or social media platforms with relevant and timely content
  • Coordinate distribution of printed and digital communications to staff and families
  • Assist with planning and organizing school-wide events, assemblies, family nights, and other special programs
  • Coordinate logistics for events including room set-up, supplies, communication, and guest coordination
  • Maintain event timelines and ensure all details are addressed
  • Assist with student registration and enrollment processes, including data entry and documentation
  • Maintain accurate and confidential student files (electronic and paper) and inquiries in accordance with district and state guidelines
  • Update student information as needed and support with reporting and audits related to enrollment
  • Compiles and submits a variety of daily, weekly, monthly, and year-end reports as required.
  • Manage purchase orders and authorizations
  • Inventories, orders and stocks supplies for building and staff. Inputs orders and coordinates with vendors for timely delivery
  • All other duties as assigned by Administration
  • Skills and Abilities

  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace
  • Ability to create professional and visually appealing flyers and documents
  • Friendly, approachable, and dependable with a customer service mindset
  • Ability to maintain confidentiality and handle sensitive information
  • Self-motivated and able to work independently as well as part of a team
