Position Summary : The Fleet Data Coordinator inputs fleet data, tracks and reconciles invoices, equipment assignments, and inspections, ensuring accuracy and effective collaboration with team members.

Essential Functions :

Apply GL (General Ledger) coding to categorize and approve invoices in Oracle.

Perform VMRS (Vehicle Maintenance Reporting Standards) coding procedures for fleet work orders and invoices.

Process and reconcile credit card receipts submitted by mechanics.

Research and resolve data issues or inconsistencies independently.

Perform data entry of equipment assignments and distribute weekly spreadsheet reports to reflect processed assignments.

Export data and generate reports for fleet members and departments as needed.

Communicate effectively with fleet garages and other departments via email, chat, or phone.

Additional Qualifications / Responsibilities

Minimum Requirements :

Education : High school diploma required; college coursework or degree preferred.

Experience : 3 months to 1 year of experience in accounting, fleet equipment, or vehicle repairs preferred.

Technical Skills :

Proficient in computer operations, including file management (renaming, resizing, and modifying files) and transferring files via websites or email.

Intermediate proficiency in Microsoft Excel, including basic formulas, data organization, and chart creation.

Strong data entry skills with high attention to detail and accuracy.

Experience in file transfer processes, including efficiently downloading and uploading files through websites and vendor portals.

Other Requirements :

Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

Willingness to work overtime as requested.

Strong customer service skills with a professional demeanor.
