About Us

We are a growing ABA (Applied Behavior Analysis) therapy agency dedicated to making a meaningful difference in the lives of children and families. Our mission is to provide compassionate, high-quality behavioral therapy services — and we’re looking for a warm, confident, and highly organized Case Coordinator to join our team.

Position Overview

The Case Coordinator serves as the primary point of contact for both new and existing clients. This role is ideal for someone who loves working with people, is detail-oriented, and enjoys managing multiple moving parts. You’ll help families get started with services, maintain ongoing communication, and ensure each case runs smoothly behind the scenes.

Responsibilities

Handle intake calls with prospective clients — provide information about our services, answer questions, and collect all necessary client details.

Conduct follow-up calls and maintain consistent communication throughout the intake process.

Manage and update client information in our internal system (basic familiarity with Microsoft Word, Excel, and Google Workspace preferred).

Coordinate schedules between families and therapists, including setting up, adjusting, or canceling sessions as needed.

Communicate with parents regarding service start dates, scheduling changes, or progress updates.

Provide ongoing support to current clients to ensure high satisfaction and timely resolution of any issues.

Work closely with the clinical and administrative team to ensure smooth coordination across departments.

Maintain accurate case documentation and uphold confidentiality standards at all times.

Qualifications

Strong communication and interpersonal skills — must be a true “people person.”

Confident, friendly, and professional phone presence.

Excellent organization and time management abilities.

Computer-savvy and comfortable navigating multiple platforms.

Prior experience in client coordination, customer service, or healthcare administration preferred.

Familiarity with ABA therapy, behavioral health, or special-needs services is a plus , but not required — we will train the right person.
