The On-Call Coordinator is responsible for ensuring continuous staffing coverage and supporting daily operations during, and outside of standard business hours. This role serves as the primary point of contact for scheduling needs, call-outs, emergencies, and staff support. The On-Call Coordinator ensures that all shifts are adequately staffed in alignment with company standards, regulatory requirements, and resident or client needs.
On-call duties are incentivized at a fixed daily rate in addition to the employee’s standard hourly wage when working in community.
responsibilities
- The On-Call Coordinator is responsible for receiving staffing-related calls and arranging coverage for any call-outs or gaps in the schedule. The frequency of on-call duties is determined by the Administrator.
- The On-Call Coordinator ensures daily staffing ratios meet company standards and state regulatory requirements.
- In the event of a staff call-out, the On-Call Coordinator ensures the shift remains appropriately staffed, either by arranging coverage, filling the shift personally, or utilizing available care team members.
- If coverage cannot be secured, the On-Call Coordinator agrees to work the shift.
- Listens to staff concerns regarding residents and appropriately directs them to the Nurse or Administrator when needed.
- Monitors employee attendance and holds staff accountable to The Springs’ attendance policies and procedures.
Note : The On-Call Specialist cannot require an employee to secure their own shift coverage but is expected to enforce The Springs’ strict attendance policy.
Assists in coaching and counseling employees regarding behavioral or attendance concerns.Maintains the staffing phone 24 / 5 to ensure all calls and messages from care staff are answered promptly.Ensures proper training is maintained for both caregivers and medication technicians.Communicates closely with the RSC / MCC and the Health Services Administrator in the case of a coverage lapse where the On-Call Coordinator is already scheduled.Conducts a weekly check-in with the Staff Development Coordinator to review upcoming scheduling needs and identify potential coverage gaps.Additional Functions
Staffing & Scheduling
Respond promptly to staffing call-outs, schedule gaps, and urgent coverage needs.Ensure all shifts are staffed according to company policies, licensing requirements, and state regulations.Contact available employees to fill open shifts, using established procedures and communication methods.Adjust schedules as needed to maintain proper staffing levels.If coverage cannot be secured, the On-Call Coordinator may be required to work the shift.Communication & Support
Serve as the primary after-hours contact for staff concerns, schedule questions, and urgent needs.Escalate resident or client issues to the Nurse, Administrator, or appropriate personnel when necessary.Maintain clear, professional communication with all team members.Document call-outs, attendance issues, and shift changes accurately.Attendance & Compliance
Track and monitor employee attendance based on company policy.Report attendance concerns or repeated issues to management.Ensure compliance with organizational staffing guidelines and state requirements.Operational Duties
Maintain updated staffing lists, availability logs, and emergency contact information.Assist with onboarding communication for new employees as needed.Support operations by staying informed of daily staffing needs, high-acuity situations, and scheduled absences.Qualifications
