Job Title : Collections Manager

Position Summary
The Collections Manager plays a key role in supporting the financial integrity of the Union Benefits Fund by overseeing contractor compliance, managing audit-related collections, and ensuring accurate reporting of owed contributions. This position works closely with auditors, legal counsel, contractors, and internal departments to safeguard member benefits and maintain consistent contribution flow into the Fund.
Key Responsibilities
Audit & Contribution Collections
- Coordinate with external auditors on contractor payroll audits.
- Track the progress and completion of audits, maintaining detailed audit-status records.
- Prepare and send audit findings and payment-due notices to contractors.
- Conduct follow-up communication regarding outstanding audit balances and escalate delinquent accounts to Fund attorneys when appropriate.
- After audit payments are received, prepare and enter all associated benefit contribution reports into the Fund’s systems.
- Record and process payments related to interest, liquidated damages, attorney fees, and audit fees (General Ledger entries).
Delinquency Monitoring & Member Support
Review member paystubs when they are working for delinquent contractors.Prepare delinquent hours reports for the Medical Department to support eligibility determinations.Send routine delinquency correspondence to contractors unrelated to audits.Issue bills to contractors for interest owed on delinquent benefit contributions.Legal Coordination
Work directly with Fund attorneys on collection matters, providing documentation, updates, and follow-up as needed.Auditor & Local Union Billing
Enter invoices from the Fund’s auditors into an Excel tracking system.Prepare and issue twice-yearly audit fee bills to Local Unions based on auditor invoices.Contractor Support & Reporting
Generate and send “benefits paid” letters to contractors upon request.Prepare regular and ad-hoc reports for Trustee Meetings.
