Epic Refuel Program Manager
Location : Dallas, TX (frequent travel required)

Position Overview
The Epic Refuel Program Manager will lead a multi-year initiative to realign and optimize the hospital's Epic EHR environment through Epic's Refuel methodology. This hospital, one of the first in Texas to adopt Epic (since 1998), has developed extensive custom solutions that predate Epic Foundation. The Program Manager will oversee the transition to standardized workflows, ensure organizational change management (OCM) success, and deliver the program from a high-level strategic perspective while coordinating tactical execution.
Key Responsibilities
Program Leadership & Delivery
- Define scope, roadmap, and deliverables for the Epic Refuel initiative.
- Oversee all phases of the program : assessment, design, build, testing, training, and go-live.
- Ensure alignment with Epic Foundation standards while preserving critical custom workflows.
- Manage a 2-year delivery timeline with clear milestones and checkpoints.
Organizational Change Management (OCM)
Develop and execute OCM strategies to drive adoption across clinical, financial, and operational teams.Partner with hospital leadership to communicate vision, benefits, and impacts of Refuel.Create training, communication, and stakeholder engagement plans to minimize disruption.Stakeholder Engagement
Act as the primary liaison between hospital leadership, Epic representatives, and project teams.Facilitate governance meetings, steering committees, and executive updates.Build consensus across diverse stakeholders, balancing standardization with local needs.Project Execution & Oversight
Lead cross-functional teams including IT, clinical, revenue cycle, and operations.Monitor risks, issues, and dependencies; implement mitigation strategies.Ensure compliance with regulatory, security, and data governance requirements.Track KPIs to measure efficiency, user satisfaction, and system performance improvements.Travel & Onsite Presence
Frequent travel to Dallas to collaborate with hospital leadership, project teams, and Epic consultants.Maintain strong onsite presence during key phases (scoping, testing, go-live).Qualifications
Required
7+ years of healthcare IT program / project management experience.Proven leadership in Epic implementations, upgrades, or Refuel initiatives.Strong knowledge of Epic modules (clinical, revenue cycle, ancillary systems).Experience with Organizational Change Management (OCM) in large healthcare systems.Excellent communication, stakeholder management, and executive reporting skills.Ability to travel frequently to Dallas.Preferred
Prior experience with hospitals that predate Epic Foundation or have significant custom Epic builds.PMP or PgMP certification.Familiarity with Epic Foundation System methodology and Refuel best practices.Why This Role Matters
