Position Overview :
The Administrative Assistant - Front Desk serves as the first point of contact for students, families, and visitors at the elementary school. This role supports the daily operations of the front office while providing direct administrative support to the principal and assistant principal. Key responsibilities include managing communication, maintaining calendars, assisting with registration and student records, drafting correspondence, creating flyers, and supporting event coordination.
Key Responsibilities :
Greet and assist students, staff, parents, and visitors in a professional and welcoming mannerAnswer and route incoming calls and emails promptly and courteouslyMaintain confidentiality and a positive office environmentMonitor visitor check-in and ensure building security protocols are followedDraft and format professional correspondence, memos, and school-wide communicationsMaintain and manage the principal's and assistant principal's calendars, including scheduling meetings, appointments, and deadlinesOrganize, maintain, and retrieve documents and records as neededPrepare reports, agendas, and meeting materialsCreate flyers, newsletters, announcements, and other materials to communicate school events and updatesDraft newsletters, family communication messages, staff updates, and internal memosMaintain confidential records and assist with compliance, reporting, and schoolwide documentationAssist in maintaining the school's website and / or social media platforms with relevant and timely contentCoordinate distribution of printed and digital communications to staff and familiesAssist with planning and organizing school-wide events, assemblies, family nights, and other special programsCoordinate logistics for events including room set-up, supplies, communication, and guest coordinationMaintain event timelines and ensure all details are addressedLead logistics for testing windows, volunteer events, and other building level initiativesComplete student registration and enrollment processes, including data entry and documentationMaintain accurate and confidential student files (electronic and paper) and inquiries in accordance with district and state guidelinesUpdate student information as needed and support with reporting and audits related to enrollmentCompiles and submits a variety of daily, weekly, monthly, and year-end reports as required.Manage purchase orders and authorizationsAdminister first aid and CPR during times of emergenciesInventories, orders and stocks supplies for building and staff.
