About Us

This position will support the requirements of a small defense contractor in the aviation industry. Our headquarters is located in Alexandria, Virginia.

Position Overview

We are seeking a motivated and detail-oriented Administrative Coordinator to support a range of operational and marketing functions. This role requires strong communication, time management, and organizational skills, along with the ability to work independently and build strong relationships with both in-office and remote colleagues.

The ideal candidate is someone who takes initiative, seeks out opportunities to contribute, and is highly effective in coordinating across distributed teams and operations. Our industry is specialized, and while prior experience is not required, success in this role depends on a genuine interest in learning. Those who are energized by new challenges and take ownership of their work will find this position both rewarding and full of potential.

Key Responsibilities

Event & Travel Coordination

  • Coordinate logistics for company events, meetings, and industry conventions
  • Manage travel and accommodations for team members attending events nationwide
  • Represent the company at trade shows, conventions, and industry events with professionalism including events across the U.S.
  • Assist with setup, breakdown, and management of company booths and displays

Administrative & Operational Support

  • Manage calendars, schedule meetings, and coordinate executive itineraries
  • Handle phone calls, messages, and correspondence with professionalism
  • Prepare documents, meeting minutes, and briefing materials for internal and external use
  • Take clear, concise notes during meetings and prepare accurate summaries or minutes for distribution
  • Maintain organized filing systems, manage mail / shipping logistics, and manage office supply inventory
  • Presentation & IT Support

  • Assist in the creation of clear, visually engaging presentations for internal and external audiences
  • Provide basic writing and formatting support to ensure professional, polished communication materials
  • Use standard software tools (e.g., Microsoft PowerPoint, Word, and Excel) to support document and presentation development
  • Apply a good eye for layout and design to enhance visual clarity and consistency
  • Ensure configuration control and organized file management across shared documents and presentations
  • Optional : Content, Research & Marketing Support

    Candidates with an interest or background in marketing will find opportunities to expand their contributions, including opportunities to :

  • Assist in creating and refining content for digital platforms, printed materials, and event collateral, ensuring clarity, consistency, and alignment with brand standards
  • Help draft and format marketing materials such as flyers, handouts, and internal communications using basic design tools
  • Support the development of presentations and outreach materials by applying a strong eye for layout, visual clarity, and professional polish
  • Conduct background research to support marketing campaigns, business development efforts, etc.
  • Collaborate with marketing and business development teams to support campaign coordination, including scheduling, content tracking, and follow-up communications
  • Requirements & Qualifications

  • Legal authorization to work in the United States
  • Bachelors degree required
  • Previous experience in office administration, customer service, or a related field
  • Optional : previous experience in marketing, communications, or a related field
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams) and calendar management tools
  • Willingness to travel up to seven times per year for 4 - 7 days at a time
  • Flexibility to work outside regular business hours primarily during business travel
