Position Overview
The Executive Assistant (EA) position at Cambridge Associates provides comprehensive, proactive, and confidential organizational and administrative support to the firm's CEO. The Executive Assistant to the CEO will manage dynamic and multiple work streams with a high degree of accuracy and discretion.
Principal Duties
Calendar Management
- Strategically manage and organize calendars to serve the priorities of the CEO, optimizing the executive's time and addressing crucial tasks and commitments with various internal and external stakeholders, including clients, shareholders, and other firm leaders.
- Demonstrate intuitive and proactive behavior in ensuring the CEO is prepared for daily responsibilities while staying ahead of long-term planning.
- Proactively identify and leverage opportunities across all scheduling and planning activities to align with the CEO's goals and priorities. Anticipate needs by integrating related tasks and engagements, ensuring the executive is fully prepared to maximize productivity and impact in every situation.
Travel Arrangements
Make complex travel arrangements (domestic and international) to ensure efficiency and minimize disruptions.Ensure all necessary travel documents, including visas and waivers, are obtained and up to date for domestic and international travel, coordinating with relevant embassies and consulates as needed.Arrange for ground transportation, including airport transfers and local transit, to ensure seamless travel experiences in various global locations.Develop contingency plans for potential travel disruptions, such as flight cancellations or delays, ensuring alternative arrangements are readily available.Communication Management
Communicate effectively and build trust with constituents as a representative of the CEO, handling all interactions, even when challenging, and scenarios tactfully.Act as a gateway for incoming requests and prioritize (flag) and route appropriately.Respond to select correspondence on behalf of the CEO, leveraging a nuanced understanding of the executive's communication style and priorities.Represent the firm and the executive in a positive and professional manner in all interactions.Meeting Coordination
Arrange and coordinate logistics for CEO meetings, including conference room set up, technology, catering, distribution of materials, etc. to allow executive to participate fully without the burden of organizational details.Engage with internal and external stakeholders with professionalism and discretion, when appropriate.Reporting Management
Partner with sales team members to ensure accurate and timely reporting by leveraging MS Dynamics to create custom reports, add comments, input notes, and pull meeting prep.Track and manage expense submissions and reimbursements on behalf of the CEO, ensuring they align with company policies in a timely matter.Change Agent
Stay up to date with firm communications and understand organizational developments, applying this knowledge to support the executive effectively.Act as an early adopter of firm changes, often leading by example and assisting where applicable.Be tech-savvy with a willingness to learn and adapt to new technologies.Explore innovative ways to improve processes; anticipate needs by flagging unattended issues and thinking forward beyond the present.Key Traits

15 years of Executive Assistant experience, preferably in professional services.BA / BS degree preferred.Advanced knowledge of MS Word, Excel (levels 1 and 2), PowerPoint, and Outlook is required. Experience with Adobe Acrobat, MS Teams, and Box is preferred. Experience with Asana is a plus.Must be able to maintain a high degree of confidentiality.Ability to take ownership and complete projects with minimal direction.Ability to manage multiple work streams with rapidly changing priorities.Proactive approach to problem-solving with strong decision-making capability.Proven time management and organizational skills.In-depth knowledge of administrative procedures and tools.Strong research, analytical, and problem-solving skills.Able to nimbly work to form relationships cross-office, resulting in more effective management of cross-office staffed teams and relationships with all levels.Strong verbal and listening skills.Excellent writing and proofreading skills are mandatory, with an emphasis on accuracy, spelling, punctuation, and grammar.The base salary range for this role is $106,000-$142,000. In addition to the listed salary range, this position is eligible for an annual performance-based bonus and a comprehensive, competitive benefits package. Actual placement within the stated salary range will be determined based on factors such as skills, experience, and qualifications, as well as internal equity.
