Build and manage timelines, run-of-shows, budgets, and comprehensive logisticsCoordinate with venues, vendors, speakers, and partnersNegotiate event contracts, book venues, manage food and beverage orders, secure AV needs, and ensure the experience meets Chamber quality standardsCreate room layouts and conduct site visitsPrepare event materials including nametags, packets, gift bags, registration lists, seating cards, and scriptsGather, catalog, and archive event informationWork closely with the Communications team on marketing, invitations, RSVPs, and event collateralCollaborate with Accounting on invoicing and financial trackingManage on-site production and post-event closeoutServe as the liaison to the Board of Regents for Leadership programsSupport applicant interviews, class selection, meeting logistics, transportation, agendas, and budgetingEnvision and develop new ideas to continually elevate Chamber eventsRepresent the Chamber with professionalism, warmth, and an unwavering commitment to exceptional serviceLeverage working knowledge of AI platforms to streamline planning, communication, and project managementAny other projects assigned by the CEOYou must be able to anticipate needs, set priorities, juggle multiple deadlines, and work evenings or weekends based on the event schedule. Achieving and surpassing financial objectives for each event is a key part of success in this role.
