Job Description
Report directly to the Controller and support Project Managers as neededManage subcontractor onboarding, including collecting W9s, Certificates of Insurance, and signed safety acknowledgmentsUtilize construction management software (e.g., ProCore) to :Maintain contact lists
Set up new projectsCreate and issue Requests for Pricing and follow up on bidsInput budgets, receipts, and invoicesGenerate subcontracts, change orders, and purchase ordersTrack and update Certificates of InsurancePrepare and update client contracts and budget amendments in line with project requirementsProvide accurate and timely financial reports and budgets to Project Managers and clientsGenerate weekly Unbilled and Job Cost reports; review with Controller to monitor marginsPrepare client invoices and pre-billing reports for internal reviewManage closeout documentation for completed projectsSupport internal and external audits by compiling required financial dataMaintain an organized digital filing system for all project and accounting documentsAssist with research, special projects, and permitting documentationHandle multiple projects while maintaining confidentiality and attention to detailLiaise with clients on special requests and manage specification documents ("spec book") for applicable projectsMPI does not discriminate on the basis of race, color, religion, sex, sexual orientation, gender identity or expression, national origin, age, disability, veteran status, marital status, or based on an individual's status in any group or class protected by applicable federal, state or local law. Familiarity with construction management software and toolsUnderstanding of general office systems, workflows, and administrative proceduresStrong time management skills with the ability to prioritize tasks and manage multiple projects simultaneouslyHigh attention to detail and effective problem-solving abilitiesExcellent written and verbal communication skillsStrong organizational and planning capabilitiesProficient in Microsoft Office Suite (Excel, Word, Outlook, etc.)What's on Offer
