Essential duties and responsibilities
The New Hire Experience Specialist ensures a seamless and engaging onboarding journey from offer letter to day 90. This role manages all pre-employment steps, including background checks and offer letters, while serving as the main point of contact for new hires. By coordinating communication between HR, hiring managers, and new employees, this person helps create a welcoming first impression, ensures all onboarding tasks are completed, and supports retention through consistent check-ins and engagement.
Manage and coordinate the end-to-end onboarding process, from offer acceptance through the completion of the first 90 days.Prepare and issue offer letters in a timely and accurate manner, ensuring all compensation, start date, and position details align with company standards.Collaborate with hiring managers and HR to verify pre-employment requirements, including background checks, drug screenings, and I-9 documentation.Monitor the status of background checks and proactively follow up with candidates or vendors to prevent onboarding delays.Reach out to all new hires 1–2 days prior to their start date to welcome them, answer questions, and build excitement.Serve as the primary point of contact for new employees, providing consistent communication and support throughout their onboarding experience.Personally check in with each new hire at key milestones (e.g., day 1, week 1, 30 / 60 / 90 days) to ensure a positive transition.Create and manage onboarding schedules, welcome materials, and ensure completion of all pre-employment and orientation tasks.Partner with HR, IT, and hiring managers to ensure all tools, systems, and workspaces are prepared for day one.Track onboarding progress and provide leadership with regular updates and reports on new hire status, offer letter completion, and background check outcomes.Proactively identify at-risk new hires and collaborate with managers to boost engagement and retention.Coordinate and host virtual and in-person onboarding events and orientations.Maintain accurate and organized records in HR systems and onboarding platforms (e.g., UKG, Paradox).Analyze early attrition trends and recommend process improvements to elevate the new hire experience.Job Requirements
