Position Overview

This is not a clerical role, it’s a relationship and results role . You’ll be the central point connecting clients, attorneys, medical providers, and lienholders. You’ll understand how every dollar flows, from treatment costs to final disbursement, and ensure clients are cared for while numbers stay accurate and compliant.

Key Responsibilities

  • Build and maintain strong relationships with clients and their families; communicate with clarity and compassion throughout their case.
  • Review medical records, bills, and liens; verify balances and identify opportunities for reduction.
  • Negotiate medical liens with healthcare providers, insurance carriers, government agencies (including Medi-Cal, Medicare, CMS), hospital systems (such as Kaiser and Sutter), and private collection vendors, using clear, persuasive written and verbal advocacy.
  • Prepare lien reduction letters, settlement statements, disbursement sheets, and trust account documentation.
  • Track and reconcile case costs, settlement advances, and payments using firm-approved templates or software.
  • Organize and maintain Google Drive / Docs and Dropbox files.
  • Draft correspondence to adjusters and medical providers; document all communications.
  • Maintain real-time updates in case management systems, ensuring attorneys always have accurate financial and client information.
  • Scan, name, and properly store all incoming and outgoing documentation.
  • Collaborate with attorneys during settlement to confirm lien balances, verify reductions, and finalize closing files.
  • Develop and refine firm templates, checklists, and SOPs to improve accuracy, speed, and compliance.

Qualifications

  • Proven experience negotiating and resolving liens (Medi-Cal, Medicare, CMS, Kaiser, private health plans, hospitals, and other medical providers).
  • Strong understanding of California DHCS procedures, trust accounting , and case disbursement workflows.
  • High comfort with numbers, spreadsheets, and financial reconciliation —accuracy and accountability are second nature.
  • Mastery of Google Workspace, Dropbox, Adobe Acrobat, and digital file organization.
  • Tech-savvy and quick to learn new tools or systems; you enjoy improving efficiency and eliminating manual work.
  • Bilingual (English / Spanish) a strong plus, especially for client communication and lien negotiation.
  • Comfortable in a hybrid remote / in-office work model; able to manage your time and deliverables independently.
  • A self-starter and self-manager who anticipates needs, asks smart questions, and executes without hand-holding.
  • Solution-oriented mindset — you don’t just point out problems; you bring potential answers to the table.
  • Strong written and verbal communication skills with clients, providers, and attorneys alike.
  • Deep integrity, professionalism, and empathy for clients who are often navigating difficult situations.
