Your Specific Responsibilities :

  • MAILROOM FUNCTIONS
  • Collects incoming mail from all sources and distributes to the appropriate department
  • Handles / collects all outgoing mail and packages and prepares for shipping
  • Maintain "Daily Mail-in Log" and distribute payments sent thru the mail to correct department for processing (i.e. Vitals or Accounts Receivable).
  • Building 1 administration hallway package clearing
  • CHANGE FUNDS
  • Distributes and collects Change funds and cash bags to 1st building
  • Makes bank run deposits
  • FLEET CUSTODIAN
  • Serves as key custodian for CHD's fleet vehicles
  • Coordinates fleet reservations
  • Maintain vehicle maintenance log and service schedule for CHD vehicles
  • Transport vehicles to contracted vendors for scheduled maintenance as needed
  • Transport vehicles for monthly car washes
  • Completes and sends Vehicle log reports to Central Office before the established deadline
  • FISCAL FUNCTIONS :
  • Reconcile all invoices that are over 60 days and listed on vendor statements or notices
  • Assess vendor warrants greater that 90-days and close the expense in Axiom.
  • Run MFMP and FIRS reports to identify open purchase orders later than 60 days and work together with the accountant to resolve.
  • OTHER DUTIES : Performs other duties as assigned by supervisor

Required Knowledge, Skills, and Abilities :

Knowledge of :

  • FDOH policies and procedures.
  • Record keeping.
  • Basic bookkeeping and accounting principles and collection regulations.
  • Information technology systems, software, and practices.
  • General office procedures and practices.
  • Skills in :

  • Computer software / system applications (Excel, Word, PowerPoint, SharePoint, etc.).
  • Providing customer service to internal and external customers.
  • Effective verbal and written communication.
  • Problem solving and critical thinking.
  • Time management.
  • Ability to :

  • Handle multiple priorities at once with little to no supervision.
  • Ensure timely completion of activities.
  • Maintain confidentiality (HIPAA regulations on privacy and security).
  • Work under pressure and adjust to a diverse working environment.
  • Establish and maintain cooperative and professional working relationships with others.
  • Occasionally lift, carry, and move objects weighing approximately 5-50 pounds.
  • Calculate, post, and manage accounting figures and financial records.
  • Qualifications : Minimum -

  • High School Diploma or G.E.D
  • One or more years of verifiable data entry or clerical experience in a financial or business office setting
  • Willing to lift, carry, and move objects each weighing approximately 5-50 pounds
  • Willing to travel locally for bank runs, vehicle maintenance drop-offs and pick-ups, and car washes as needed
  • Willing to perform emergency duty during disasters before, during and / or beyond normal work hours or days
  • Preferred -

  • Proficient in Microsoft Office applications such as Outlook, Word, and Excel
  • Experience using Microsoft Excel for financial tracking, reconciliation, or reporting
