Job Title : Administrative Assistant To The Mayor

Work Location City Hall - 100 Military Plaza, San Antonio, TX (78205) Work Hours 7 : 45 a.m. - 4 : 30 p.m., Monday - Friday; Additional hours may be required, depending on business needs.

Job Summary

Under direction, is responsible for maintaining communication between the Mayor, the City Council, the City staff, citizens and the media. Responds to and answers, on behalf of the Mayor, inquiries and complaints from the public and provides highly responsible and complex administrative support to the Mayor. Exercises direct supervision over staff. This position is an "unclassified" position and has no disciplinary appeal rights to the Municipal Civil Service Commission. This position is likewise subject to at-will employment status and can be terminated at any time for any reason.

Essential Job Functions

  • Maintains effective communication between the Mayor, the City Council, City staff, citizens, and the media. Coordinates briefing sessions and meetings, distributes correspondence to appropriate City departments, and prepares response statements to City departments, outside agencies, and citizens.
  • Coordinates travel plans for the Mayor, sets travel calendar for the Mayor, and travels with the Mayor as requested.
  • Coordinates and supervises the work of staff responsible for providing secretarial and clerical support in the Mayor's Office.
  • Coordinates contacts with the media, prepares background information, prepares press statements for the Mayor's Office, and communicates with the media on behalf of the Mayor.
  • Responds to and resolves sensitive inquiries and complaints on behalf of the Mayor.
  • Receives mail for the Mayor's Office and answers or distributes, as appropriate.
  • Represents the City on a variety of boards and committees, attends and participates in meetings on behalf of the Mayor, and stays abreast of issues and policies effecting city governments.
  • Makes recommendations of appointees for boards or committees.
  • Coordinates special events and functions for the City, contacts community groups and organizations for input, and participates in special events.
  • Conducts studies of operational issues, prepares recommendations on results, and evaluates recommended changes on organization, policy, and procedures.
  • Provides staff support to a variety of boards and commissions, attends and participates in professional group meetings, and stays abreast of new trends and innovations in the field of municipal administration.
  • Provides or coordinates staff training and works with employees to correct deficiencies.
  • Performs related duties and fulfills responsibilities as required.

Job Requirements

  • Valid Class 'C' Texas Driver's License.
  • Bachelor's Degree from an accredited college or university with major coursework in Business Administration, Public Administration, Communication, or a related field.
  • Five (5) years of increasingly responsible professional and administrative research and analytical experience.
  • Applicant Information

  • Unless otherwise stated, applicants are permitted to substitute two years of related full-time experience for one year of higher education or one year of related higher education for two years of experience in order to meet the minimum requirements of the job. One year of full-time experience is defined as 30 or more hours worked per week for 12 months. One year of higher education is defined as 30 credit hours completed at an accredited college or university.

If required for the position, a physical, motor vehicle record evaluation, and additional background checks may be conducted.

  • Knowledge, Skills, and Abilities

  • Knowledge of current social, political, and economic trends and problems of municipal government.
  • Knowledge of concerns and interests of civic groups, governmental agencies, and the general public.
  • Knowledge of organizational and management practices as applied to the analysis and evaluation of programs, policies, and operational needs.
  • Knowledge of sources of information related to a broad range of municipal programs, services, and administration.
  • Knowledge of principles of supervision, training, and performance evaluation.
  • Knowledge of pertinent federal, state, and local laws, codes, and regulations.
  • Ability to provide effective leadership in coordinating and promoting administrative activities for the Mayor's staff.
  • Ability to identify and respond to Mayoral, City Council, and community issues, concerns, and needs.
  • Ability to effectively plan and coordinate a variety of City-wide programs, events, and functions.
  • Ability to identify and respond to local, state, and national media interests.
  • Ability to interpret and apply City policies, procedures, laws, and regulations.
  • Ability to analyze problems, provide alternatives, identify solutions in support of established goals, project consequences of proposed actions, and implement recommendations.
  • Ability to prepare clear and concise reports and develop appropriate recommendations.
  • Ability to communicate clearly and effectively.
  • Ability to establish and maintain effective working relationships with City staff and officials, other government officials, community groups, the general public, and media representatives.
