Accounts Payable Specialist (Direct Hire – On-Site)

Position Summary :

We are seeking a detail-oriented Accounts Payable Specialist to join our growing team. In this role, you will manage full-cycle AP processes with a focus on accuracy, efficiency, and vendor relations. This position plays a key role in maintaining the financial integrity of our accounting operations while ensuring timely payments and compliance with company policies.

What You Will Do :

Handle high-volume invoice processing and payment cycles from start to finish

Match, verify, and enter invoices with appropriate documentation and approvals

Prepare weekly check runs and ensure timely vendor payments

Track and post monthly AP accruals accurately

Reconcile vendor accounts and resolve any discrepancies

Review and audit expense reports and credit card transactions

Ensure compliance with internal controls, accounting standards, and AP policies

Respond to vendor inquiries and maintain positive vendor relationships

Assist in preparation of 1099s and manage W-9 documentation

Partner with other departments to reconcile benefits, resolve payment issues, and support cross-functional financial activities

Help improve AP processes and participate in departmental projects as needed

What You Bring :

Three to five years of hands-on accounts payable experience

Solid understanding of accounting principles and the general ledger

High attention to detail and ability to manage competing deadlines

Intermediate proficiency in Excel; experience with accounting software such as Sage500 is a plus

Strong analytical and problem-solving skills

Excellent communication skills, both written and verbal

Ability to work independently and collaboratively in a fast-paced environment

Familiarity with 1099 reporting and vendor compliance

Associate degree in Accounting, Finance, or related field preferred
