Job descriptionReview, prepare, and process invoices for contract and time-and-material (T&M) services, ensuring accuracy and completeness within the ERP system (Vista) Reconcile customer accounts and aging reports by following up on outstanding invoices to ensure timely payment Conduct collection calls and other outreach efforts as necessary Maintain and manage AR customer files, including proper setup within the ERP system and assignment of appropriate sales tax codes Respond promptly and professionally to customer inquiries related to billing and payment issues Monitor customer creditworthiness and escalate concerns as appropriate Deliver a high level of customer service to clients and internal stakeholders Provide supporting documentation for internal and external audits Assist with special projects and other duties as assigned by the supervisor 3-5 years of experience in an office-based professional environment; accounts receivable or related accounting experience preferred Prior experience in the manufacturing or construction industry is a plus Proficient in Microsoft Excel and Outlook Experience working with ERP systems is beneficial Demonstrated ability to organize tasks, manage priorities, and meet deadlines Strong attention to detail with a high level of accuracy Ability to handle confidential information with professionalism and integrity Effective written and verbal communication skills, with the ability to build and maintain vendor relationships

Job Summary
The Accounts Receivable Specialist is responsible for accurately preparing and processing invoices, managing customer accounts, and supporting timely collections. This role ensures the integrity of billing data within the ERP system while delivering excellent customer service and supporting internal stakeholders. The position also assists with audits and special projects as needed.
