Job description

Emergency Physicians of Tidewater is seeking our next ADMINISTRATIVE COORDINATOR aka Rock Star to join our team! As the "face" of the EPT corporate office, you can play a critical role in supporting the most awesome group of physicians in Hampton Roads. Your high-visibility position entails :

Responsibilities :

  • Answer switchboard and direct incoming calls as appropriate
  • Monitor and distribute incoming faxes and physical mail
  • Be visible and able to answer the door for visitors
  • Manage scheduling of various standing, periodic, and sporadic leadership meetings (Google Calendar oversight)
  • Coordinate meals for in-person standing meetings and ad hoc meetings as needed
  • Manage office / kitchen supply inventory, including ordering, stocking, management within organizational policies / procedures
  • Assist leadership with communication to the Board of Directors and Partners as needed
  • Assist with coordination of virtual and on-site meetings with Hospital C-Suites and EPT leadership
  • Assist administrative and physician leadership with ad hoc tasks as assigned
  • Handle a variety of matters involving contact with various staff, physicians, board members, committees, agencies, and the public in a professional manner
  • Prepare various documents and handle confidential matters in accordance with policies and procedures
  • Participate in new employee onboarding (setting up employee accounts / benefit selection / enrollment)
  • Perform other duties as assigned

Qualifications :

  • Associates degree required; Bachelors Degree strongly preferred
  • Minimum five years of administrative experience, including two years in a healthcare organization
  • Knowledge and proficiency of Google Office Suite (Google Docs, Calendar, Meet, Drive, Sheets, Gmail)
  • Experience with HR support functions, UKG payroll / benefits system highly desired
  • Elements of the right fit :
