PATH is seeking candidates passionate about helping others make a positive change in their lives to join our Quality Assurance & Compliance team as the Contracts Administration Specialist at the RHC Office.
ABOUT PATH
Since its foundation in 4, PATH (People Assisting The Homeless) has pioneered bold and effective approaches to assist people experiencing homelessness. PATH operates services throughout California, connecting our clients to a comprehensive continuum of homelessness prevention, street outreach, employment preparation and placement assistance, individualized case management, supportive services, interim housing, and permanent supportive housing.
ABOUT THE JOB
As part of the Quality Assurance & Compliance team, the Contracts Administration Specialist is responsible for contract administration including drafting, preparing, processing and tracking contracts and amendments for PATH with its funders and subcontractors. The position is also responsible for administration of contracts and grant data in PATH’s contracts management system.
Position Responsibilities include :
- Serve as an administrator for the contract management system.
- Execute, track, and report on PATH’s government and public grant portfolio.
- Perform review of incoming program contracts and grants. Notify applicable staff of receipt and acknowledgement of contract scope, budget and provisions. Outline contract compliance provisions for implementation.
- Serve as an expert on grant compliance and interpretation of OMB Circulars and applicable government regulations.
- Collaborate with leadership to create contract boilerplates for agreements and amendments between PATH and its sub-contractors and professional service contractors.
- Further develop agreements, and MOUs pertaining to grant awards for contracted services, in collaboration with program and fiscal management. Ensure accurate Statements of Work, Budgets and contract provisions are integrated into the agreements and amendments.
- Draft, prepare, process and track contracts and amendments between PATH and its sub-contractors and professional services contractors.
- Process and maintain current file of documentation needed to verify subcontractor obligations stipulated in agreements and amendments.
- Research regulations governing funds received from Federal, State, and local government to prepare contracts for PATH and its contractors.
- Enter contract data and processing information into the contract management system
- Prepare reports on contracting metrics on a weekly and monthly basis for submission to leadership
- Assist in the preparation and delivery of other reports generated from the contract management system by other departments as directed
- Perform data quality reviews of data entered into the contract management system
