Job Purpose :
Provides specialized administrative support to the Plant Manager and management team. This role requires a highly organized and detail-oriented individual with excellent communication and technical skills, capable of handling a variety of tasks in a fast-paced manufacturing environment.
Nature of Duties / Responsibilities :
Primary Duties will include but not limited to :
- Administrative Support : Provide comprehensive administrative assistance to management across various departments, including answering phones, managing correspondence, data entry, and preparing reports and presentations.
- Travel Arrangements : Coordinate domestic and international travel arrangements for management and other personnel.
- Visitor Management : Manage schedules for customer, supplier, and executive visitors, including initial reception, screening, and hosting. Prepare meeting rooms and materials for these visits.
- Meeting & Event Planning : Organize and prepare meetings for various stakeholders (customers, suppliers, auditors, executives, etc.). Arrange company events and catered meals.
- Payroll Processing : Process time card information for hourly plant payroll.
- Human Resources Support : Assist HR with new hire orientation, preparation of new hire packets, and coordination of CTPAT Security Awareness Training.
- Sales Order Management : Perform data entry and management of Sales Orders, Change Orders, and credit / rebill transactions.
- Production Support : Monitor production backlog and take action to ensure weekly plant on-time delivery performance.
- Vendor Management : Manage plant service providers and contractors (e.g., security patrols, janitorial, groundskeeping, property managers).
- Procurement : Order supplies and other Maintenance, Repair, and Operations (MRO) materials. Manage MRO p-card purchases, including reconciliation of bank transactions.
- Other Duties : Perform other administrative tasks as assigned.
Education and Experience :
This is an ITAR facility and applicant must be a US Citizen or a lawful permanent resident.
