Responsibilities

  • Responsible for performing a wide variety of standard administrative and office support duties. This includes answering incoming phone calls, responding to incoming e-mails, handling mail, and welcoming guests. Will also prepare a variety of materials including notes, routine correspondence, basic reports, and forms. Maintain filing systems, basic departmental databases, calendars, and conference room schedules. Order and receive supplies and perform office inventory functions including monitoring vehicle inspections. Maintain office equipment. Serve as backup for time and leave entry and payroll transactions.
  • Provide significant support to the Assistant Vice President of Communications by managing the calendar and daily schedule which requires scheduling meetings, conference calls, special events and business trips. Requires extensive knowledge of the priorities of the Office of University Communications, and further requires that the individual acts on behalf of the AVP in their absence with regard to calendar items, by exercising discretion.
  • Responsible for coordinating meetings and facilitating meeting arrangements including location, luncheon, special requirements, etc.; Prepares relevant materials and lists of attendees for meetings. Serves as liaison between Assistant Vice President of Communications and group representatives. Also schedules routine meetings with and for key staff and external stakeholders. Attends meetings, as requested, to take notes.
  • Responsible for travel arrangements for the Assistant Vice President of Communications and staff of University Communications, including but not limited to entering travel into Concur, making arrangements (airline, hotel and car rental reservations), and assisting with the planning and organization of conferences, if necessary. Responsible for preparation and tracking of all Travel Authorization Requests and Reimbursement Vouchers using knowledge of all policies and procedures related to travel.
  • Provide support to special projects as assigned by the Assistant Vice President of Communications and key staff in University Communications.

Qualifications

Bachelor's degree and two years experience or a combination of post high school education and experience equal to six years.
