UC San DiegoSan Diego, CA, USAs a member of the Jacobs School Dean's Office Academic Personnel (AP) team / unit, the incumbent applies professional UC Academic Personnel concepts, organization and / or system-wide policies, and procedures to provide guidance to supervisors and managers to resolve a variety of academic personnel issues of moderate scope and complexity. Manages and conducts independent review and analysis of non-senate academic appointment and review files which include Lecturer (Unit 18 and Continuing). In collaboration with other AP Dean’s Office staff, assists in the management of appointment and review files for Adjunct faculty, Research / Project Scientists, Specialist, Academic Coordinator, Recall titles, and all Visiting Titles. Review files for compliance with campus and University policy and procedure and Unit 18 MOU, assuring accuracy and confidentiality; make recommendations for resolution of problems. Serves as primary contact for academic processing for Dean’s Office educational programs including COSMOS, MAS, IGE, IDEA Center, etc.
Participate in development, analysis, and implementation of new policies. See and review confidential documents on Unit 18 collective bargaining and grievance matters. Research and prepare reports and consult / contribute to the development and maintenance of academic affairs process and procedures. Provide recommendations, alternatives, and solutions for various academic affairs issues. Participate in a variety of special projects. Identify and implement enhancements to the AP website. Provide training as needed to department AP staff. Cross-train and serve as back-up to the Dean's Office Academic Personnel Manager in ladder-rank faculty review and analysis.
This position is also responsible for compensation programs (FSEP, FLP, and GCCP), which includes providing advice and guidance to both staff and faculty (or other academic appointees). This position will also handle the annual APM 025 outside reporting and Category I review process and numerous ad hoc academic actions (i.e. Visiting appointments, endowed chairs, stipend requests, etc.) This position is responsible for the administration of Dean’s level faculty recruitments and reporting. This position ensures accuracy and confidentiality, interprets new and changing policy, reviews and adheres to UCSD deadlines, and evaluates projected scheduling constraints.
Serves as back-up to review and process various academic leave or special request forms, applies leave policy and advises department contacts on how to resolve issues that come up related to leave requests.

QUALIFICATIONS
Basic knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR.
Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies. Skill to see the comprehensive picture both in terms of current complexities and interactions and in the Required long- range view over time. Knowledge and understanding of the structure of large organizations and how to effectively operate to accomplish goals and develop new initiatives / programs within this framework.
Knowledge of human resources management systems and other related business software programs and systems. With fast and accurate typing and proofreading skills, demonstrated experience using computer software / systems such as the google suite of applications. Demonstrated experience with computerized systems, database management, and spreadsheet and word processing programs to manipulate data and create reports.
Knowledge of unit academic culture and educational goals of discipline(s) served.
Analytical skills to conduct analysis and develop recommendations to Chairs / unit management.
Demonstrated organization, problem solving, and communication skills. Proven analytical skills used in evaluating information, procedures or situations to define a problem or objective, identify relevant concerns, recognize alternatives, formulate logical and objective conclusions and prepare reports, suggest solutions, etc.
Knowledge of appointment / review process for university academic employees.
Knowledge of policies and procedures as they relate to academic personnel, benefits and payroll administration.
Knowledge of academic appointment and employment policies.
Knowledge of university pay scales, salary administration, benefits, payroll system and payroll forms related to academic affairs and academic personnel. Excellent mathematical and computational skills to work with percentages and formulas.
Demonstrated ability, past experience to solve complex problems through the creative ability to identify, construct, evaluate, and implement innovative and sound solutions to a wide range of issues. Requires ability to use initiative, creativity and resourcefulness to accomplish projects and tasks at hand.
