Job description

DUTIES AND RESPONSIBILITIES :

1. Oversee administration of health and other insurance benefits

  • Maintain a thorough understanding of all benefits in order to support the plant locations.

Ensure a monthly enrollment of new teammates

  • Resolve discrepancies between benefit vendors and teammates
  • Verify weekly teammate benefits and deductions with Payroll
  • Notify COBRA Administrator of change in status
  • Provide customer service to teammates by answering benefits questions and resolving issues
  • 2. Oversee compliance auditing and ensure compliance with benefit plan documents, rules and regulations.

  • HIPPA Compliance / Privacy Officer
  • Review SPD's, SBC's, and other compliance documents annually
  • Ensure required communications are completed ( Medicare Part D Notice, CHIP Notice, etc.)
  • Backup for weekly benefits audits
  • Backup for weekly 401k audit and verifies company totals
  • Backup for weekly audits of Medical, Dental, and Vision discrepancy files
  • COBRA discrepancy and audits
  • 3. Oversee FMLA processing and ensure compliance with FMLA

  • Approves FMLA paperwork
  • Oversees FMLA processes, ensuring compliance with process and FMLA
  • 4. Oversee all STD, LTD, and Life claims to ensure correct payments are made

    5. Oversee weekly and monthly reporting

  • Develop and create reports as needed in UKG and Excel to support benefit compliance, auditing, enrollment, etc.
  • Lead the process of auditing the absence reports
  • Manage the month end billing for all vendors
  • 6. Analyze Benefit programs and Lead Annual Open Enrollment

  • Organize annual benefits committee meeting
  • Participate in quoting process and claims review meetings for new benefit year
  • Examine plan designs and benefit cost changes and suggest changes
  • Obtain statistics and information in renewal process ( census data to broker / vendor)
  • Create open enrollment brochures and training documentation
  • Create benefit communications for teammates
  • Coordinate the scheduling of open enrollment meetings and enrollment at the facilities
  • Create script for open enrollment meetings
  • Lead and actively participate in annual benefits meetings and enrollments at the facilities
  • Oversee open enrollment auditing and work with HRIS Admin to ensure benefit elections are loaded properly and communicated to benefit vendors timely
  • 7. Oversee administration of 401K plant

  • Weekly review of new enrollments and terminations including rehires
  • Backup for weekly import into UKG from Empower with deferral percentage changes
  • Correspond with plan sponsor / record keeper
  • Audit loans, hardship distributions and deferral percentages
  • Send LOA dates to plan sponsor's website
  • 8. Miscellaneous

  • File maintenance and organization
  • Benefits process documentation and improvement
  • System testing of benefits programs
  • 9. Preparation of government required forms

  • Form 5500s, SAR's, Form 1095-b, Forms 1095-c and any other necessary reporting accurately and timely
  • 10. All other duties as assigned

    KNOWLEDGE, SKILLS AND ABILITIES :

  • Ability to sit and stand for extended periods of time
  • Excellent written, verbal and presentation skills
  • Ability to work under pressure, prioritize and manage time effectively
  • Willingness to travel as needed
  • Strong computer skills required in Microsoft Office, Outlook, UKG preferred
  • Ability to work independently and in a team environment
  • Thorough knowledge and understanding of benefits and benefits regulations
  • Ability to work effectively and confidentially with all levels of management and teammates
  • Excellent communication and interpersonal skills are a must
  • Ability to adapt quickly to change and multi-task
  • Must be detail-oriented, highly organized, and have excellent follow-up skills
  • Ability to analyze information and make recommendations

  • EDUCATION AND EXPERIENCE :

    Prefer bachelor's degree in related field with five years' experience in Benefits, Human Resources, or a related field. Formal education may be substituted with experience and training when competency in the position is demonstrated.

    WORKING CONDITIONS :

    This work is performed in an office setting with minimal to moderate noise due to computers, printers and people.
