REPORTS TO : Director of Communication

TERMS : 240 Duty Days

DEPARTMENT : Communications / Printing

PAY GRADE : E05

Primary Purpose :

The Districtwide Events Coordinator is responsible for planning, organizing, and executing major district events with a strong focus on project management, vendor coordination, and budget oversight. This position ensures that all district events are executed professionally, on time, and within budget while maintaining high standards of excellence.

Qualifications :

Education / Certification :

Bachelor's Degree preferred in Communications, Public Relations, Event Management, Business, or a related field.

Special Knowledge / Skills :

  • Proven experience in event coordination and project management, preferably in a school district or public sector environment.
  • Strong budget management skills with the ability to plan, track, and reconcile expenses.
  • Expertise in project management software.
  • Ability to develop detailed project binders and documentation for recurring and specialized events.
  • Excellent communication and interpersonal skills to work effectively across departments and with external vendors.
  • Knowledge of audio-visual equipment, including microphones, speakers, podiums, and basic lighting.
  • Highly organized with exceptional attention to detail.
  • Ability to work independently, manage multiple events simultaneously, and meet tight deadlines.
  • Flexible and resourceful, with the ability to solve problems quickly and creatively

Experience :

  • Experience coordinating events in a school district or educational setting.
  • Familiarity with procurement and contract negotiation processes.
  • Major Responsibilities and Duties :

  • Develop, maintain, and publish an Annual District Events Calendar in collaboration with the communication department, district leadership and stakeholders.
  • Coordinate with Communication Leadership Team to ensure all events meet District Branding Guidelines.
  • Manage and oversee the budget for the events department, ensuring all events stay within allocated funding.
  • Coordinate and manage contracts with outside vendors including caterers, rental companies, printing services, and entertainment providers.
  • Maintain a project binder for every major annual event and periodic special events (groundbreaking ceremonies, ribbon cuttings, dedication ceremonies, etc.), including :
  • Detailed Schedules with clear and realistic timelines
  • Venue reservation confirmations
  • Printing orders and deadlines
  • Venue walkthrough schedules
  • Detailed budget tracking for each individual project.
  • Use Project Binders and District Events Calendars to schedule meetings with project committee at least 2 months ahead of time for each project and stick to tight meeting schedules to ensure all pre-event requirement roles and responsibilities are assigned and understood.
  • Demonstrate strong project management skills, using project management software to organize tasks, timelines.
  • Work closely with internal departments (Communications, Facilities, Technology, etc.) to coordinate support before, during, and after events.
  • Possess working knowledge of sound systems, podium equipment, and basic lighting setups, coordinating necessary AV needs for each event.
  • Conduct thorough venue walkthroughs to confirm event logistics and identify potential needs or adjustments.
  • Serve as the primary point of contact during events, ensuring seamless execution and addressing last-minute changes or challenges.
  • Manage all equipment inventory for all events. Ensure everything is accounted for and returned to its proper spot.
  • Provide post-event summaries, budget reports, and recommendations for future improvements.
  • Maintain confidentiality with sensitive knowledge and material.
  • Perform other duties as assigned by the Director of Communication.
  • Supervisory Responsibilities and Duties :

    Supervise contracted event staff.

    Ability to communicate effectively (verbal); maintain emotional control under stress; interpret policy and procedures, assist with district functions, tight deadlines. Physical Demands / Environmental Factors :

    Repetitive hand motions; prolonged use of computer; steady phone interactions; moderate standing, walking, and bending; moderate lifting and carrying.
