Job Description
Basilica of Saint Mary Star of the Sea in Key West, Florida, is hiring a Parish Bookkeeper and Business Manager. This position supports the Basilica of Saint Mary Star of the Sea activities for the Archdiocese of Miami and its entities by providing day-to-day financial, operational, human resources, payroll, and other miscellaneous services. The Bookkeeper and Business Manager performs all duties and responsibilities in alignment with the mission, vision, and
values of the Catholic Archdiocese of Miami.
This is an exempt position whose time requirements may range between 40 and 50 hours per week, depending upon the Basilica's operations and management. The job demands will be seasonal as the Church and fiscal years proceed through their typical cycles.
Essential Job Functions
Administrative Oversight :
- Manage the rectory office's daily operations, including supervising and supporting paid and volunteer office staff members.
- Foster a positive and collaborative work environment with all staff members, including conducting regular staff meetings and performance evaluations.
- Assist the Rector with all recruitment and selection procedures, including developing
the job descriptions and maintaining the required records.
Ensure accurate and timely record-keeping, including sacramental records, financialtransactions, and parishioner information.
Create and maintain personnel records for each employee. Perform all personneladministration duties in coordination with the Archdiocesan Office of Human Resources to ensure appropriate documentation is maintained in payroll, accounting, and personnel files.
Work with the Directory of Facilities and Maintenance to ensure Parish properties are maintained and repaired in compliance with applicable laws, rules, and regulations.Analyze internal processes and recommend and implement procedural or policy changes to improve efficiency and find cost savings.Financial Management :
Oversee the parish budget, offertory collections, and preparation of year-end Federal tax documentation to parishioners uponrequest.
Facilitate Archdiocese of Miami auditing process, with preparation of necessaryrecords and reports.
Prepare and present financial reports to the Rector and parish finance council.Develop and maintain internal control policies and procedures by GAAP. This includes writing policies and subsequently implementing proper procedures for all involved parties.Review end-of-year Paylocity reporting.Work with the Rector and Archdiocese of Miami Development Corporation liaisons tocoordinate ABCD campaign communications and collections.
Coordinate fundraising activities and stewardship programs.Ensure compliance with Archdiocesan financial policies and procedures.Bookkeeping
Maintain accurate and up-to-date financial records for the parish.Track and record all financial transactions in the appropriate accounting software, including donations, other revenues, expenses, and payroll.Process invoices and ensure timely payment of bills.Reconcile bank statements and financial records on at least a monthly basis.Process payroll for parish employees, ensuring accurate calculation of wages, taxes,withholding, and deductions.
Maintain employee payroll records and ensure compliance with federal, state, anddiocesan regulations.
Process new Basilica hires into payroll and benefit plans.Parish Communication :
Build and maintain good working relationships with other Archdiocesan entities. Seekopportunities to learn best practices for parish office management and to collaborate in
different ways.
Maintain effective communication with parishioners through bulletins, newsletters,website updates, and social media.
Assist in the planning and coordination of parish events and activities.Learn the terminology of the Catholic Church and ministries of the Archdiocese of Miami to relay messages and policies effectively.Pastoral Support :
Assist the Rector with administrative tasks and special projects as needed.Provide support for liturgical and sacramental celebrations.Coordinate volunteer activities and encourage parishioner involvement in parish ministries.Be available for archdiocesan training and meetings periodically in Miami.Qualifications :
Minimum : Bachelor's degree in business, accounting, or related field, and five years of professional-level experience; Executive management experience may be substituted.Preferred : CPA or MBA with a minimum of 7 years of professional-level experienceExperience in a Roman Catholic environment is required.Ability and commitment to work easily with others cheerfully and agreeably, contributing to a successful team environment.Skilled in oral and written English-language communication, including a clear speaking voice. Flawless spelling and grammar are required.Proficiency in another language widely spoken in Key West is a plus.Knowledge in accounts receivable and general ledger.Knowledge in GAAP and accounting practices; knowledge of principles and practices in not-for-profit accounting a plus.Ability to maintain high accuracy in preparing and entering financial information.Ability to maintain confidentiality and discretion concerning financial and contributors' files and other sensitive records kept by the parish.Skilled in modern office procedures and practices, including record-keeping and data security methods and techniques; Proficiency in MS Office is required.Skilled in general computer competencies, including navigating online applications and search engines effectively.Knowledgeable in human resources management principles, practices, and regulatorycompliance.
Ability to provide excellent customer service in person and by phone, includingprofessionalism with people in challenging situations.
Skilled in time management, including the ability to manage one's own time,subordinates' time, and several projects simultaneously.
Ability to multi-task and retain accuracy in competing deadlines.Must support the mission and tenets of the Roman Catholic Church.Able to sit for extended periods at a computer workstationAble to perform data entry for extended periods.Able to walk or travel the Basilica buildings and grounds for inspection and project monitoring.Able to push and occasionally lift objects weighing 25 pounds.Reliable, responsible, dependable, and fulfilling obligations with a willing attitude.Must have a professional demeanor.
