Position Summary :

The Dispatch Administrator is responsible for coordinating time and resources of a multi- craft

team, including backing up the Dispatcher with scheduling, assignment of rigging and associated

crews to jobs / job sites based on customer requirements and Department of Transportation (DOT)

regulations. This position will collaborate with regional office leadership to disseminate assigned

work information, function as back up in maintaining schedule calendar, and arrange for and

coordinate needed equipment and resources.

The Dispatch Administrator will also be responsible for ensuring rental and MEI owned equipment,

and tools are assigned to crew per job requirements and are scheduled for maintenance.

Essential Job Duties and Responsibilities :

  • Daily review, edit and adjust labor hours, if necessary, in electronic timekeeping system (ADP),

preparing final review and approval by manager. Note all changes to time stamps as appropriate.

  • Back up to Dispatcher when needed; assign and dispatch work crews to job sites and yard projects
  • based on customer and MEI requirements ensuring employees are assigned to job / projects in

    accordance with their skill set.

  • Assign equipment (MEI and rentals) and tools to draw up per job requirements including
  • scheduling of equipment repairs. Completion of all paperwork related to equipment maintenance,

    issues and repairs.

  • Prepare, organize and distribute all required paperwork to appropriate groups (crew, accounting,
  • operations management) related to the job, change orders, assignment of crew and equipment, safety,

    JHA’s (job hazard analysis) and equipment repairs & inspections.

  • Perform data entry into software applications for labor and equipment.
  • Maintain an equipment tracker.
  • Back up to dispatch with job board daily : add and / or cancel pending and confirmed jobs.
  • Coordinate, track and schedule drop off and pick up of all equipment and rentals related to
  • jobs, including equipment from other MEI locations.

  • Assist dispatch by communication with operations, job foreman and drivers for
  • efficiency of scheduling.

  • Confirms customer project start dates; prepares labor and equipment to be ready for specified
  • start dates. Communicates job start / pause / stop events to crews and dispatch as needed.

  • General clerical duties including copy, scan, filing, and maintaining of vendor and customer
  • records.

  • Other duties as assigned or necessary.
  • Minimum Qualifications (Experience, Skills, and Education) :

  • High school diploma or equivalent necessary.
  • Minimum two (2) years proven dispatching experience or comparable field preferably within the
  • rigging or transportation industry.

  • Excellent interpersonal, communication and project management skills.
  • Possess creative thinking and problem-solving skills.
  • Proficient with Microsoft Office applications – specifically Excel and Outlook. ERP experience
  • helpful.

  • Ability to excel and adapt in a fast-paced environment.
  • Knowledge of customs requirements as it relates to export or import shipments.
  • Valid and current driver’s license.
  • Physical Requirements and Working Conditions :

    This position is on-site; typical work hours are Monday – Friday, 7 : 30 a.m. to 4 : 00 p.m. Most work

    will be performed in a normal, climate-controlled office environment. Extended time sitting using a

    computer, keyboard / mouse, and telephone. Will utilize the senses such as sight and audio; uses

    lower arm extremities extensively for computer / seated work. May be exposed to

    non-climate-controlled areas, walk over uneven / slick surfaces or rough terrain, or perform work

    outdoors with exposure to inclement weather.

    Occasional lifting or moving objects up to 20 pounds.
