Salary : $55,650.00 - $66,780.00 DOE

POSITION : OFFICE MANAGER

JOB DESCRIPTION : The OMs primary responsibility is the aide and support of all functions of the charter school site with direction given by the site administrator. The OM is passionate about the mission and commitments of VCPS and exhibits this through his / her execution of all their responsibilities and relations with all stakeholders. The OM will foster a collaborative and stimulating community culture for a diverse group of stakeholders, including administration, faculty members, board members, and community partners.

REPORTS TO : SITE ADMINISTRATOR

RESPONSIBILITIES :

  • Greet and assist staff, parents, students, and visitors to the school in a friendly and professional manner.
  • Answer phones using a professional and courteous manner.
  • Assists students who need health / medical assistance
  • Assists with staff / personnel records
  • Coordinate substitute teacher coverage by first communicating with the administrator and then teacher
  • Collaborate and delegate duties to Office Clerks.
  • Responsible for vendor quotes and relations.
  • Works collaboratively with administration to maintain accurate record of all keys and assets that have been distributed.
  • Sort through mail and distribute accordingly.
  • Work with site administrators and teachers regarding any project or special requests.
  • In charge of parent correspondence and mailings.
  • Responsible for the maintenance, storage, and security of all student files.
  • Student meal applications.
  • Enter daily attendance into PowerSchool
  • Track student absences and tardies
  • Works in conjunction with VCPS Database Administrator on projects or needs of certain informational systems
  • Assist in parent communication and meetings
  • Assists with student recruitment and enrollment
  • Any other duties as assigned by site administrator (s)

Qualifications

  • B.A. / B.S. degree preferred
  • Must have knowledge in the use of a copier and fax machine
  • Ability to communicate effectively (verbal and written)
  • Must be computer literate and have extensive experience with : MS Office, Word & Excel
  • Bilingual in Spanish preferred
  • Able to multitask and handle a high paced work environment
  • Must have excellent management and organizational skills and a positive attitude
