Position Overview
Horizon Trust Company is seeking a highly skilled Executive Assistant to support the CEO and Sales Executive. This is a high-impact role for an experienced assistant who thrives in a fast-paced environment, anticipates needs, and operates with autonomy and discretion.
This is not a task-based administrative role. You will act as a strategic partner—managing priorities, optimizing executive time, supporting sales and financial reporting, and improving systems using modern tools, including AI and automation.
Key Responsibilities
Executive & Calendar Management
- Proactively manage and optimize executive calendars
- Prioritize meetings, communications, and executive commitments
- Act as gatekeeper for executive time and focus
- Review, triage, and respond to executive email with sound judgment
- Resolve scheduling conflicts independently
Travel & Logistics
- Coordinate all executive travel, including flights, lodging, transportation, and itineraries
- Ensure travel aligns with business priorities, events, and executive preferences
Sales, Data & Reporting Support
- Build and maintain dashboards and spreadsheets for sales performance, KPIs, and revenue tracking
- Prepare executive summaries, reports, and leadership-ready insights
- Support budgeting, forecasting, and expense tracking
- Translate data into concise, decision-ready information
Presentations, Webinars & Executive Materials
- Create and maintain professional slide decks for sales presentations, webinars, and leadership meetings
- Ensure accuracy, clarity, and brand consistency
- Assist with webinar and presentation logistics
Events & Offsites
- Plan and execute leadership offsites, client meetings, and company events
- Manage vendors, timelines, and budgets with minimal oversight
Systems, Tools
- Identify process improvements and implement scalable solutions
- Quickly learn and adopt new tools and systems
Qualifications
- 3+ years of experience supporting C-level executives or senior leaders
- Proven ability to manage priorities independently in a fast-paced environment
- Strong organizational, analytical, and problem-solving skills
- Advanced proficiency in Excel or Google Sheets (formulas, lookups, dashboards)
- Experience with CRM platforms such as HubSpot, Salesforce, or similar
- Excellent written and verbal communication skills
- Use AI tools and automation platforms to improve workflows and efficiency
- High level of professionalism, discretion, and sound judgment
Preferred Experience
- Background in financial services, sales, or professional services
- Project management
- Experience supporting multiple executives
- Event or offsite planning experience
- Strong familiarity with AI tools, automation, and workflow optimization
