Job Summary

The Business and Capital Coordinator provides professional and technical support for the coordination and implementation of projects within the Business and Capital Department, including capital improvement initiatives, infrastructure projects, economic development activities, and grant-funded programs. The position coordinates project activities, tracks schedules, budgets, contracts, and deliverables, maintains project documentation, conducts research, and prepares reports and presentations to support departmental objectives.

Working collaboratively with the Finance Department and other City departments, the Coordinator supports financial tracking, grant coordination, and compliance activities to ensure adherence to City policies and applicable funding requirements. The position facilitates communication among internal and external stakeholders and promotes efficient project execution through effective coordination, documentation, and continuous process improvement, contributing to the City's commitment to accountability, transparency, and operational excellence.

Minimum Job Requirements

  • Bachelor's degree in Business Administration, Public Administration, Finance, Urban Planning, Engineering, Project Management, or a related field
  • One (1) years of experience in project coordination, program administration, grants management, capital projects, or a related field.
  • A valid Texas driver's license.
  • Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities may be considered.

Essential Job Functions

  • Coordinate and support Capital Improvement Program (CIP), grant-funded, and other Business and Capital projects by tracking timelines, milestones, budgets, contracts, deliverables, and maintaining accurate project records and documentation.
  • Compile and analyze project data, conduct research, and prepare reports, presentations, and supporting materials to assist leadership with project planning, evaluation, decision-making, and communication with internal and external stakeholders.
  • Coordinate financial tracking and grant-related activities by researching funding opportunities, assisting with grant applications and documentation, and ensuring compliance with City policies, funding requirements, and applicable federal, state, and local regulations.
  • Facilitate communication and collaboration among internal staff, contractors, consultants, and external stakeholders by coordinating meetings, preparing agendas, providing project support, and promoting effective project execution.
  • Identify and recommend opportunities to improve project workflows, documentation, communication processes, and operational efficiency to enhance departmental effectiveness and service delivery.
  • Perform other duties as assigned.

Physical Demands/Work Environment:

Work is performed primarily in a standard office environment with occasional visits to project sites, meetings, and community locations. Requires the ability to sit, stand, walk, and use standard office equipment, including computers and phones, for extended periods. May involve occasional lifting, carrying, or moving materials and documents up to 25 pounds. Work may require attendance at evening or weekend meetings, City Council sessions, or community events as assigned. Must be able to operate a motor vehicle to travel to project sites, meetings, and other locations as needed.
