In this position you will support protocol and high-level visits and events coordinating details such as reserving rooms, arranging catering and transportation, assisting with site access, producing meeting materials and supporting day of for most high-level activities.We're looking for a highly organized, detailed, self-motivated individual with strong interpersonal and written communication skills who is adept at managing multiple administrative duties. Our ideal candidate is passionate about being in an administrative associate role and thrives on providing superior customer service.Primary responsibilities will include :
- Manage information flow and communications with external and internal contacts including sending calendar holds / invitations
- Assist in communications with high level visitors and designated staff
- Greet and receive visitors (in person and virtually in a professional, courteous manner)
- Assist in coordinating logistics and details for all protocol and VIP visits / events including badging and foreign national access, selecting, and ordering catering, scheduling facilities, and requesting related services needed :
- Determine room reservation needs and reserve / negotiate
- Issue work orders for room set-up, arrange for AV / IT support
- Create meeting materials such as agendas, bio booklets and table tent cards
- Support day of protocol visits and high-level events
- Supporting online virtual offerings and being comfortable with online platforms
- Provide administrative support coverage for Corporate Communications and the Communications Office Leadership team in the absence of the Communications Office business support professional..Basic QualificationsHigh School Diploma or equivalent and 1 or more years of experience or equivalent relevant education / experience. Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education / experience. Solid knowledge of the job. Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job. Intermediate skills in applicable software packages and office equipment. Basic project administration skills. Ability to prioritize work. Proficient in written and verbal communications. Very good team and interpersonal skills.
