Calibrate Property Management is seeking a motivated self-starter to oversee operations for 141-unit market rate community in Chicago, IL.
The community manager is responsible for property operations including performing and / or oversight of property accounting, leasing, marketing, and maintenance functions. The business manager may or may not perform all the essential functions depending on the size of the property and the level of staff. The business manager reports to the regional manager. Duties include but are not limited to :
Manages the property and staff within the guidelines of the company policies and procedures and ensures that the property staff understands and conducts property business according to policy and state and federal laws and regulations.
Meets and greets prospective residents maintaining a desirable closing ratio. Shows units to prospective residents and explains occupancy terms. Sets leasing and occupancy goals for leasing team and motivates team to reach goals.
Conducts resident screening and approves all potential resident applications and reviews qualifications. Acts a friendly resource during the leasing process and completes the lease form outlining conditions and terms of occupancy, ensures that lease files are entered correctly into the resident management and accounting software.
Manages rent collection and maintains community presence through communication via resident portal and door notices. Manages the lease renewal process independently.
Manages invoices to ensure that all products or services have been received.
Completes required weekly, monthly, and quarterly property reports. Responsible and liable for the petty cash fund.
Assists the regional manager with the creation of an annual budget and manages the property within the budget.
Performs evictions as required and participates in legal proceedings following eviction, as necessary.
Resolves resident complaints and answers resident questions. Monitors all problems that are being handled by other employees, including leasing agents and maintenance team. Oversee resident activities and create a community feel through communication, follow-ups, and resolution.
Interviews, selects, and trains new employees. Schedules and monitors for daily staff performance. Conducts safety meetings. Conducts performance evaluations, performance counseling and terminations. Recommend position changes and promotions. Completes all necessary employee related paperwork. The maintenance supervisor has these responsibilities for the maintenance staff.
Ensures that all maintenance service requests performed by the maintenance staff are completed satisfactorily and in a timely manner.
Inspects vacant units to ensure they are rent ready, performs move-out inspections to assess condition of vacated units, and monitors the condition of property common areas for potential problems including potential safety hazards. Determines which units need carpet, blinds or appliance replacement, etc. and secures approval from the asset manager for improvements.
Implements and assesses effectiveness of property marketing strategies and works to get new connections in the area to the community.
Performs other duties as necessary to meet the needs of residents and the property.
QUALIFICATIONS
To perform the role successfully, an individual must be able to perform all essential functions satisfactorily. College Degree preferred
3 years of Experience as a Property Manager
3 years of Experience using Property management software such as Yardi, Rent cafe CRM, Rent maximizer (Elevate)
2 Years of Experience managing a team and overseeing property marketing
Other required Knowledge, Skills, and Abilities :
Must have a positive attitude, learn from feedback, and enjoy working with residents in all cases.
Must work independently and complete all tasks assigned to property by ownership, regional manager, or asset management.
Must possess a basic working knowledge of multifamily property management including but not limited to Fair Housing laws and regulations, building and grounds maintenance, resident relations, leasing, rent collections, eviction procedures, bookkeeping principles and the use of property management software, and property safety.
Must have assertive collection skills and superior customer service and employee management skills.
I must be able to communicate effectively with all levels of management and personnel.
Must be detail oriented and able to focus with occasional interruption.
MENTAL & PHYSICAL DEMANDS / WORKING CONDITIONS
Must be able to work Monday - Friday 9am 5pm without absence or adjustment to schedule.
Must be able to understand and relate the concepts behind specific ideas.
Physical Requirements
The work is described as light in physical demand.
Ability to frequently sit, stand, walk, extend arms and hands forward and overhead, finger and grasp.
Must be able to occasionally bend, crouch or stoop.
Must be able to lift and carry up to 25 pounds.
Must have close and distance vision and the ability to adjust focus.
