Job description

Donor Relations Officer

The Donor Relations Officer designs and manages human-centered stewardship strategies for donors of all levels, facilitates engagement and volunteer opportunities, and drives revenue through our third party events and Craig Hospital employee giving programs. This person must possess a strong affinity for the donor and Craig's patients and families; understand how data and segmentations inform work; and have skills in project management. The Donor Relations Officer will build a strategy for a coordinated stewardship program that will reach donors of all levels, partner with Craig Foundation philanthropy programs for strategy integration, partner with volunteers to cultivate and steward donors, and collaborate within the department to build content and deploy stewardship efforts. This role is responsible for leading a recognition committee and implementing gratitude and recognition, including during special initiatives and campaigns. This position will perform discovery work and execute on learnings to enhance donor stewardship and ensure every donor knows the impact of their giving.

Location: 3425 S Clarkson St, Englewood, CO 80113 (in the Foundation Building on the Craig Hospital Campus)

Shift: Monday-Friday, 8 am - 4:30 pm, with flexibility as needed

Compensation: $27.56/hour- $39.69/hour; Non-exempt

Position Requirements

  • Licensure/Certification/Registrations: Valid Colorado Driver's License in good standing required
  • Education: Associate degree or equivalent education and experience required.
  • Experience: 3+ years of experience in relationship building, stewardship, engagement, and/or project management required.
  • Skills & Abilities: Strong desire to build and evaluate a stewardship program. Understanding of business implications of decisions and ability to align work with strategic goals. Excellent ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously. Possess good analytical and problem-solving skills; must be detail oriented with excellent follow-through and a methodical approach to work. Ability to relate to people of all ages and diverse backgrounds, skills and abilities. Desire to make data/research-informed decisions and integrate best practices, considered alongside vision and market trends. Must be able to successfully and effectively communicate and collaborate with a variety of audiences, including internal and external stakeholders. Strong project management and collaboration skills a must. Ability to maintain the confidentiality of donors and patients and learn and abide by HIPAA regulations. Willingness to work evenings and weekends as required. Confidence in utilizing MS Office suite, especially Word, Outlook, PowerPoint, and Excel. Solid knowledge of fundraising databases; experience in Raiser's Edge is helpful.

Essential Functions

Stewardship Strategy & Implementation

  • Build a stewardship program for all levels of donors through all forms of giving (ex. event, omni-channel, and interpersonal solicitations) using donor data, segmentation, and best practices to inform strategies.
  • Create and implement a structure for recognition and appreciation including impact reporting, donor gifts, and on-campus and digital recognition.
  • Partner with Foundation teammates including gift officers, annual giving, communications, digital philanthropy, and gift processing and data as well as hospital employees to develop, deploy, and measure stewardship efforts.
  • Design and own stewardship initiatives, including donor welcome series. Evaluate and maintain current stewardship efforts and make recommendations to integrate new stewardship efforts and execute ideas.
  • Collaborate with Event Designer on stewardship, recognition, and milestone events.
  • Manage a defined stewardship portfolio (e.g., loyal donors, recognition donors, selected mid-level donors) with individualized stewardship plans and documented activities. Develop systems and communications that support cross-departmental stewardship efforts.
  • Use best practices and in-house analytics to inform stewardship strategies. Document cadence of touches and meaningful outreach activities for different philanthropy programs. Partner with program leads on strategy and support execution.
  • Set and report on metrics and strategies for donor journey and retention. Track stewardship and engagement outputs and contribute insights to dashboards. Implement stewardship workflows based on affinity, retention, upgrades, renewal, frequency, and amount.
  • Serve as a liaison with hospital colleagues in an effort to deliver gratitude and report on impact.
  • Maintain and communicate an index of important dates, hospital events, donor engagement opportunities, stories, and stewardship pieces to support integrated and cross-organizational stewardship.
  • Coordinate and assign thank-you calls and manage post-event/activity stewardship follow-up processes.
  • Call donors to express gratitude, extend event invitations, and invite them to participate in initiatives such as giving days. Make recommendations for gift officer contact or annual giving program based on learning from conversations.
  • Outline processes and procedures for stewardship workflow and content management.
  • Develop and lead the Foundation's stewardship workgroup.
  • Lead donor wall and recognition strategy. Lead the recognition task force and work with external vendors on recognition implementation

Engagement & Fundraising

  • Coordinate Foundation engagement and volunteer opportunities (family nights, peer dinners, thank-you call volunteerism, bespoke opportunities, tours/volunteer groups) and facilitate on-campus in coordination with hospital colleagues.
  • Participate in ushering event and engagement activity attendees into the giving pipeline and bring prospects closer to the mission.
  • Recruit, train, and work with volunteers to engage them in stewardship work (notes, phone calls, storytelling, etc.).
  • Update the database with engagement coding. Report on engagement metrics. Responsible for the timely tracking and updating of action reports and opportunities in the database.
  • Manage the community partner (third party) fundraising event program for the Craig Foundation. Proactively promote the program, engage with hosts and provide support/expertise, occasionally participate in events, and steward these relationships. Keep third party guidelines current and track goals and metrics.

Position Responsibilities/Duties

  • Manage all stewardship efforts for the Craig Foundation; collaborate closely with teammates to write, design, and deploy content.
  • Collaborate with colleagues on planned giving society benefits; opportunity to design and implement giving societies.
  • Give tours of Craig Hospital.
  • Ensure all projects are HIPAA and giving policy compliant and align with Craig Hospital brand standards.
  • Manage program budget.
  • Collect useful and compliant data on alumni and donors to aid in creating stewardship programs and recognition points
  • Adhere to Foundation policies, including naming and recognition policy.
  • Work effectively with internal and external stakeholders, including consultants.
  • Participate in staff meetings and strategic planning for the Foundation. Serve on subgroups/task forces as requested.
  • Cross-train on team functions.
  • Become familiar with and follow hospital-wide and department-specific policies and procedures; seek assistance from management when clarification or assistance is needed.
  • Become familiar with and follow Craig Hospital Cultural Covenants.
  • Assist other staff members as requested.
  • Perform other duties as assigned.

Degree of Supervision and Supervisory Responsibility

This position reports to the Director of Development. Employees in this position will be expected to perform most job duties and responsibilities independently and in accordance with established departmental and hospital policies and procedures.

This position is not responsible for the supervision of any other positions.
