Job description

Job Summary

Reporting to the University Registrar and receiving work lead direction from the Lead Transfer Credit Technical Analyst, the Transfer Credit Analyst is responsible for performing a variety of tasks related to accurate transfer credit analysis and encoding articulation / transfer credit rules in PeopleSoft programming. Working independently, the incumbent is responsible for determining the validity of transfer credits through a review of articulation agreements and programming rules in PeopleSoft to apply the transfer credit to student records. In this role, the incumbent must understand Title 5, CSU / SJSU academic advising, admissions, and graduation policies and procedures. Responsibilities include analysis of articulation and updates for course-to-course, general education, American Institutions, advanced placement, and transferability databases. The analysis includes accuracy and error reporting to guide improvement planning. The Analyst is knowledgeable about articulation, articulation data sites, and SJSU curriculum, requiring a broad understanding of general education and course-to-course articulation requirements. This position supports transfer credit for regularly enrolled San Jose State students at the point of admissions and is also responsible for assisting SJSU Online recruitment prior to admissions. The Transfer Credit Analyst serves as a point of contact for SJSU Online Enrollment Counselors and prospective students.

Key Responsibilities

  • Serve as the transfer credit rule writer to analyze and interpret various external and internal data sources such as ASSIST, TES, and SJSU's articulation website to accurately classify external courses for articulation mapping
  • Research and report discrepancies and / or conflicts in ASSIST, TES, and SJSU's articulation website to the Articulation Office
  • Gather, organize, and evaluate data from transcripts and OnBase to set priorities for transfer credit rule development and determine appropriate action
  • Run and analyze queries as needed to ensure the accuracy of written transfer rule updates and troubleshoot issues that may arise
  • Write transfer credit rules in PeopleSoft (one-to-one, combinations, wildcards, non-transferable, multiple courses) for community colleges, CSUs, UCs, and out-of-state schools identified for students
  • Verify that all transfer credit rules have appropriate prefixes and effective date rows
  • Once written, evaluate the correctness of rules using the California State University Common Management System (PeopleSoft Non-Production) and data collected from SAMI (Student Affairs Multi-Interface Gateway)
  • Consult and troubleshoot issues with transfer credit rules assigned by the Lead Transfer Credit Analyst
  • Work closely with SJSU Online Enrollment Counselors and prospective students to help determine admissibility into SJSU Online majors / degrees

Knowledge, Skills & Abilities

  • Ability to communicate with constituents in a professional and respectful manner

  • Working knowledge of, or ability to gain knowledge of, degree requirement / academic advising reports
  • Working knowledge of, or ability to gain knowledge of various data sources (PeopleSoft, ASSIST, TES, SJSU Articulation website, external college catalogs, SAMI, OnBase) used in the validation of transfer credit
  • Working knowledge of applicable university infrastructure, policies, and procedures as related to articulation, transfer credit, and graduation requirements
  • Ability to understand problems from a broad perspective and anticipate the impact of problems and solutions on other areas
  • Ability to independently interpret and apply a variety of policies and procedures where specific guidelines may not exist
  • Ability to perform accurately in a detail-oriented environment
  • Ability to carry out complex assignments without detailed instructions

  • Required Qualifications

  • A bachelor's degree and / or equivalent training
  • Administrative work experience involving study, analysis, and / or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
  • Preferred Qualifications

  • Experience with student advising or transcript evaluation
  • Two (2) years of administrative work experience involving study, analysis, and / or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
  • Compensation

    Classification : Administrative Analyst / Specialist - Non-Exempt

    Anticipated Hiring Range : $5,000 / month - $5,250 / month

    CSU Salary Range : $3,879 / month - $7,488 / month
