Purpose
Performs a wide variety of complex clerical and office duties to support the functions of a department or individual at the District office; performs related work as required.

Performance Responsibilities
This is an advanced administrative support position with the primary function to provide secretarial and administrative support services to District staff. Duties may include typing and preparing letters or documents using various software applications, entering data into school or department systems and applications, keeping clerical records, logs, ledgers, spreadsheets and related documents and conducting special project work or research studies. The work is performed under the supervision of a designated department supervisor or district administrator. Lead work or supervision is often exercised over secretarial assistants, student assistants and/or volunteers. The primary duties of this class are performed in a general office environment.

Essential Duties

Essential Duties and Responsibilities (may vary with specific positions):

  • Composes and types letters, reports or other documents;
  • Prepares spreadsheets to track and log specific data;
  • Conducts and completes special projects as assigned;
  • Performs research to compile and prepare reports or other materials;
  • Answers incoming phone calls, providing referrals to other departments or staff as needed;
  • Creates and maintains a supply of necessary forms used in department;
  • Prepares purchase orders, verifies receipts and distributes to appropriate staff;
  • Operates standard and specialized office equipment;
  • Prepares a variety of forms or materials for transfers, classified employee hiring, etc. for the department;
  • Contacts applicants and sets up interview appointments;
  • Uses computer to develop and maintain specialized applications in a variety of software;
  • Maintains and updates calendars;
  • Coordinates meetings and facilities and makes travel arrangements;
  • Updates Course Description Books for middle school and high school;
  • Organizes annual Kindergarten Registration;
  • Maintains Concurrent Credit information � tagging in PowerSchool, maintaining teacher lists, etc.;
  • Liaison between NCAA and high school registrars
  • Orders curriculum materials for department and all school sites using purchase orders and curriculum purchasing card
  • Performs all work duties and activities in accordance with District policies, procedures and safety practices.

    Other Duties and Responsibilities

  • Performs other related duties as required.

Knowledge, Skills and Abilities
Knowledge of:

  • Operation of standard and specialized office equipment;
  • Operation of a personal computer and job-related software;
  • English grammar and punctuation;
  • Basic math and recordkeeping;
  • Current office practices and procedures;
  • District policies and procedures.


Ability to:

  • Compose correspondence, track and compile data for reports, and conduct research projects;
  • Follow written and oral instructions;
  • Maintain records efficiently and accurately and to prepare clear and concise reports;
  • Operate a variety of standard and specialized office equipment;
  • Maintain effective working relationships with other District employees, supervisory personnel, and the public;
  • Operate a personal computer including software applications appropriate to assigned duties;
  • Utilize various software applications to design and maintain spreadsheets, newsletters, etc.;
  • Communicate effectively both orally and in writing;
  • Perform accounting and mathematical functions;
  • Use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions;
  • Perform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely manner;
  • Perform time management and scheduling functions, meet deadlines, and set task priorities;
  • Maintain office, school, and individual confidentiality;
  • Work independently;
  • Use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions.


Qualifications

  • High school diploma or GED equivalency; and
  • At least two years secretarial or administrative support experience; or
  • Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.


Essential Physical Abilities

  • Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to discern verbal instructions and communicate effectively on the telephone and in person;
  • Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to comprehend written work instructions and review and prepare documents and file them in a prescribed order, and organize documents and materials;
  • Sufficient manual dexterity, with or without reasonable accommodation, which permits the employee to operate a personal computer and other office equipment;
  • Sufficient personal mobility, agility, strength and physical reflexes, with or without reasonable accommodation, which permits the employee to work at a keyboard for an extended period of time, move up to 20 pounds and work in an office environment.
