POSITION SUMMARY :
The Administrative Assistant provides high level administrative support to the College of Law's Assistant Dean of Experiential Learning and Administration such as assisting in the essential operations of the Office, preparation and organization and updating of reports and other documents, taking calls, scheduling meetings, and managing office requests by the Dean's Office. The position includes clerical duties and assistance in dissemination of information about the College of Law and the various components of the experiential learning programs, as well administration. The position requires someone with excellent verbal and written communication skills, good judgment, mindful of confidentiality, and strong time management skills to meet deadlines.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES :
- Works with the Dean of Experiential Learning and Administration to accomplish the tasks and goals of the Office.
- Works with the clinical faculty and students to ensure students obtain all documents needed for certifications as legal interns in a timely manner.
- Maintains ongoing contact and good public relations with current students, alumni, staff, and field placement supervisors.
- Assists in maintaining accurate records.
- Assists in the preparation and / or editing of documents such as special reports, expense reports, memos and invoices.
- Creates and / or manages spreadsheets, databases, and presents.
- Keeps abreast of all faculty and student affairs policies and guidelines.
- Maintains confidentiality of information exposed to during business regarding students, faculty, supervisors, or other employees.
- Receives, routes and screens incoming calls in an efficient and courteous manner; takes accurate messages as necessary; and retrieves departmental voicemail messages and forward to appropriate personnel.
- Provides general information regarding clinical placements or externship requirements via e-mail, telephone, or in-person.
- Aids in the planning, coordination, and execution of on / off campus programs and events hosted by the Office of Experiential Learning and Administration, including orientation and informational sessions.
- Assists with the development of marketing publications and communications including letters, brochures, website postings, electronic mail and other mediums.
- Cooperates with the University and the College of Law departments, as needed.
- Oversees and assigns tasks to work study students in the absence of the Assistant Dean for Experiential Learning and Administration
- Complies with departmental and university safety rules and regulations.
- Performs other duties as assigned by immediate supervisors.
Qualifications
POSITION QUALIFICATIONS / SPECIFICATIONS :
SUPERVISION RECEIVED :
Supervision received from Assistant Dean of Experiential Learning and Administration. Routine assignments are performed independently following University and departmental policies and procedures.
SUPERVISION EXERCISED :
No supervisory responsibility but may train and work directly with work-study students.
POSITION QUALIFICATIONS / SPECIFICATIONS :
Preference will be given to individuals with prior knowledge / experience in general office settings. Demonstrated knowledge and skills in the use of integrated software systems and Microsoft Office applications, including Excel.
