The Assistant Director, Graduate Admissions serves as a point of contact for graduate prospective students through the student lifecycle to graduation. This role will entail responsibility for processing over 1,500 applications for admissions annually, for any of the 100+ graduate programs in the College of Arts and Sciences. Primary responsibilities include processing applications and admissions decisions, international credentials evaluation, verifying documents with GW’s International Services Office and delivering visa documents to incoming students, and working with incoming students to assist with registration and matriculation. The Assistant Director, Admissions will also be cross-trained in graduate student services, so they may assist the student services team as necessary with registration and graduation issues.
Responsibilities Include :
Graduate Admissions :
- Reviews applications for admission to ensure completeness and accuracy. Prepares and routes applications to appropriate faculty committees.
- Works with faculty / department committees to process decisions and issue decision letters to applicants. Works with programs to ensure timely delivery of admissions decisions. Modifies letters of admission as needed include special restrictions, deficiencies, conditions, or other special requirements.
- Communicate with departments regarding credentials, special circumstances, and anomalies. Alerts the Associate Director and / or Associate Dean for Graduate Studies of potential issues or exceptions to policy.
- Produce admission reports for staff and faculty as required.
- Answers inquiries from applicants and prospective students. Works with applicant to resolve issues related to their applications.
- Evaluates domestic and international credentials to ensure international applicants meet University rules for eligibility for graduate study, including English language requirements.
- Evaluates visa request forms and financial documents for incoming international students. Ensures ISO requirements are met and communicates with incoming students about requirements. Coordinates final issuance of documents and delivery to incoming students. This process requires familiarity with different currencies, immigration documents, immigration policies, rules and procedures, and an in-depth knowledge of the F-1 student visa process.
- Works with the Associate Director of Graduate Recruitment and recruitment team to support in-person and virtual events for applicants and prospective students. Represents GW and CCAS graduate programs at fairs and other recruitment events.
- Create and run Salesforce (TargetX), Service Now, and Data Marts reports and dashboards for regular use by staff and faculty. Build new queries and reports as necessary.
- During seasonal peaks, assist the student services team in the preparation and processing of registration forms, certification requests, graduation clearances, and advises appropriate faculty and / or the Associate Dean when a student’s record indicates a need for additional action.
- Plan and participate in events including, but not limited to, webinars and chat events for prospective students, student orientation, the CCAS Doctoral Hooding Ceremony, CCAS Celebration and University Commencement and admitted student days.
Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications :
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
